- Calendar Management: Efficiently managing the CEO's schedule, prioritizing appointments & and delegation of tasks, meetings, and events, tracking progress, ensuring deadlines are met by various teams or individuals.Resolving issues that may arise in the CEO's schedule, activities or projects to ensure smooth operations.
- Communication: Handling all forms of communication on behalf of the CEO, including emails, calls, and other correspondence, and ensuring important messages are conveyed promptly.
- Travel Arrangements: Coordinating travel plans including domestic and international, itineraries, proactive planning of external partner meetings, and logistics for the CEO's business trips and ensuring smooth travel experiences.
- Meeting Preparation: Gathering necessary materials, information, and reports for meetings attended by the CEO and ensuring they are well-prepared for each engagement.
- Project Support: Providing support on special projects and initiatives led by the CEO, including research, data analysis, and presentation preparation.
- Confidentiality: Maintaining strict confidentiality of sensitive information and handling it with the utmost discretion.
- Stakeholder Management: Welcoming, assisting, and managing relationships with clients, and key stakeholders, both internal and external, and acting as a liaison between the CEO and these parties.
- Document Management: Organizing and maintaining important documents, contracts, agreements, and other files for easy retrieval.
- Event Coordination: Assisting in the planning and execution of company events, conferences, and other functions where the CEO's presence is required.
- Continuous Learning: Staying updated on industry trends, executive best practices, and relevant tools to enhance the support provided to the CEO.
- Marketing & Branding: Look after the marketing of the company. Coordinate with Social media marketing agencies for regular postings, managing posts, and exploring branding in various ways to increase company visibility and brand value. Also coordinate with content writers to get write-ups, and articles and coordinate with PR agencies for posting those.
- Information Flow: Ensuring efficient information flow within the CEO's office, keeping the CEO updated on relevant matters, and sharing updates as needed.
- Administration: Being the main POC for any admin related activities such as housekeeping staff training & management, maintain the stock of stationary & other required items, travel arrangements for employees, keep track on the assets issues and assets handover, resolve queries of office infrastructure as & when arise, etc.
- Hospitality Management: Manage the client visit and other required things (order lunch, breakfast, and bouquet).
- Other: Work in preparing and delivering documentation for tenders, vendor registrations, and other parts wherever required and to handle basic sales support as & and when required.
