 I have been assigned with monitoring of complete renovation of the existing office area of 22000sqft which is in progress. My area of responsibilities includes -

 

  • Civil construction related work - Negotiation, Preparing PO, Monitoring Execution, Checking of Bills and final settlement with ledgers.

 

  • Structural - From negotiation, PO, Design-Fabrication-Erection etc.

 

  • Damp Proofing Work - Membrane & Civil related to Terrace, Exterior & Interior wall for 22000 sq. ft office area. 

 

  • VRV AC related project - Negotiation, PO, SITC.

 

  • Fire Fighting - Water line & Alarm Negotiation to SITC i.e. Supply, Installation, Testing & Commissioning.

 

  • Others related to project work right from Negotiation to Supply, Installation, Testing & Commissioning and final settlement like -

 

  • Furniture & False Ceiling.
  • CCTV.
  • Flooring - Carpet, Tiles, Granite, Marble etc.

 

  • Involvement in all Project Purchase, Costing, Bill passing, Vendor- payment and final settlement.

 

Regular Admin related Activities and Responsibilities                         

 

Facility Management

 

  • Daily Monitoring House Keeping, Security Guard, Electricity & Office Upkeep & maintenance.         
  • Sanction for Issue of Material from stores for Pantry, House Keeping & Others.
  • To upkeep the stock of Beverages, Drinking water and other items at Director’s Block.
  • Passing of daily cash vouchers and checking daily cash book.

 

Event Management

         

  • Arranging Pujas, Get-Together, Picnic and other Inter-Company event.

 

Infra related

 

  • Major and Minor repairing work, refurbishing work, Interior Work, Space Management.

          

Asset Maintenance

           

  • Water Purifier Maintenance and AMC.
  • Window and Split AC Maintenance and AMC.
  • Lift related maintenance & new installation and AMC.
  • CCTV- Maintenance & AMC
  • Biometric- Maintenance & AMC
  • Fire Extinguisher Maintenance & AMC
  • Managing & maintaining (AMC) Central AC Plant of 80 Ton capacity.
  • All related vendor management

 

Vendor & Purchase Management

  • Managing various type of vendor like- Security, Housekeeping, Tour & Travels, Stationery, Daily Office maintenance work.
  • Vendor search, finalization.
  • Making and Providing Work Order & Purchase Order.
  • Overall supervision of work.
  • Bill passing & Payment supervision of vendors.
  • Vendor Cost optimization.
  • AMC related work for AC & others.           
  • Managing all above related purchase and procurement both for Project and regular office work.

 

Team Handling

 

  •  Handling Team of 20 people including – Office Executives, Maintenance, Sub – Staff, Electrician, Plumber etc.

 

 

Liaison

  •  Local Bodies like - Police, KMC, and Building Authority.

  • Liaison with Advocate/Legal dept. regarding Centre setup.

          Vendor Management

  • Managing various type of vendor like- Security, House keeping, Tour & Travels, Stationery, Daily Office maintenance work.
  • Payment & payment supervision of vendors.

  •  Vendor Cost optimization.
  •   AMC related work for AC & others.

           Project ( MIS& Client handling) related work

  •  Making reports regarding acquisition & admin.
  •  Making reports & handling for Projects like UID , ICSI & ICWA.

          Co-ordination with Sales and Purchase

  • PO related data maintenance.
  • Payment related data maintenance.
  • Invoice processing & documentation for both Sales & Purchase.

          Monitoring & Training 

  • Monitoring over Branches on cash related issues.
  • Interacting with Branches on Customer & supplier related issues.
  • Training to new joiners about Admin process, call log process.

          Payment Related

  • Cash handling in a Large scale.
  • Vendor   payment, dealing & ledger scrutiny.
  • Employee voucher processing & payment
