Designation:  Crewing Office

Reporting to: Group Head & Fleet Personnel Manager.

 

Job Description: 

  • Going through mails 
  • Coordinating with Mumbai candidates for joining process 
  • Checking their documentations 
  • Doing all pre-joining formalities/paper work, coordinating with candidates for checking documentations through Email/WhatsApp call.
  • Sending all pre-joining documents to candidates and follow up with them to get the signed documents back from them. 
  • Making domestic flight/hotel for all joiners get them 3 days in advance to Delhi or Mumbai in order to comply with 3 days quarantine.
  • Connecting crew mail packets to vessel with liaising with candidates and filed offices  
  • Updating documents of candidates 
  • Updating appraisal reports of candidates 
  • Processing flag documents of joiners 
  • Making the arrangements of club items for vessel (Mixer/Aquaguard/Magazines) 
  • Hotel Bookings 
  • Liaising with respective depts and training dept for in-house courses
  • every Monday morning sending Birthday wishes to vessel 
  • Follow up with crew members for sick wages
  • Coordinating with travel dept for visa 
  • monitoring of contract expiry of on board staff and sending extension of contracts 
  • Next year increments 
  • Preparing contract if change in flag or owners and sending it to vessel  
  • Preparing various letters sea service/bank account     
  • Sending joiners details to IT dept for E-Migrate

 

  • Liaising with field offices for candidates joining information & documentation check status.

Designation:  Crewing executive

Reporting to: Crewing Head & Fleet Personnel Manager.

Job Description: 

 

  • Upon selection of Candidates, arrange for their pre-joining medicals. Company doctors to be alerted whenever in doubt of candidate’s medical fitness and advised us to go for a thorough checkup.
  • Liaise with Visa & Travel department for any visa requirement for smooth joining of selected candidate.
  • To verify certificate check-list, pre-joining check-lists and to ensure, all documents are handed over to the candidate prior joining.
  • To ascertain personnel files are maintained properly & updated.
  • Keeping a track of appraisal report of on signers & off signers for re-employment.
  • To maintain a record of all licenses & certificates of approved candidates & to liaise with the License department for their flag state documents. 
  • To go through the debriefing report of each off-signed candidates and take up matters demanding attention with respective authorities and thereafter closing the case.
  • To review and recommendation for Promotions / Removal from services / Not to be Re-employed status of candidates.
  • Maintaining database of various available manpower resources for future consideration.
  • Liaise with on-board Captain/Master for upcoming crew changes & by keeping a close watch on vessel’s itinerary.
  • Keeping fleet managers posted on intended crew changes.
  • To liaise with Recruitment department for rejoining of ex-hands or for first-time joiners. 
  • Providing required documents for Flag State Documentation, keeping track of the same and finally connecting the originals onboard.
  • Updating of crew records in HRM software.
  • Grievance management.
  • Assisting in other crewing issues as & when required.
  • Managing existing Clients & Vendors.
  • Dealing with multinational clients (Ukraine, Georgia, Singapore, Pakistan, Indonesia, Philippines and Bangladesh).

Designation: Vessel In-charge.

Reporting to : Crewing Head & Fleet Personnel Manager.

 

JOB PROFILE: 

 

Excelled in the role of Vessel In-Charge (Fleet Personnel Executive), handling multiple functions including Sea-farer’s queries, administrative tasks and information monitoring. Enjoyed meeting the challenges of a high stress work environment and successfully maintained an efficient and effective administration service.

 

  • Upon receiving approval, arrange for pre-joining medical for all selected candidates , arrange Drug and Alcohol test, also Stress Test for elderly candidates. Company doctor to be alerted whenever in doubt of candidate’s medical fitness and advised us to go for a thorough checkup.
  • Checking documents of seafarers according to national and international requirements, to ensure that all the seagoing personnel are certified by industry recognized health official as medically fit to undertake their specific duties on board, and hold valid, relevant qualification certificates necessary for their position. 
  • Preparing (Documentation) joining papers for the assigned seagoing personnel. 
  • Liaise with Visa & Travel department for any visa requirement for smooth joining of selected candidate.
  • To verify pre-joining check list and ensure all documents are handed over to staff prior joining.
  • Planning and implementation of crew changes
  • To ensure personal files are maintained up to date.
  • Keeping track of Appraisal report of on signers & off signers for re-employment.
  • To maintain a record of all licenses applied for and ensure that the original copies are handed over to the applicants and copies retained in file.
  • To go through the debriefing report of each off signed officer of their vessel and take up matters needing attention with respective authorities and thereafter close the loop.
  • To review and recommendation for Promotions/Removal from services/Not to be Re-Hired status of candidates.
  • Maintaining database of various available manpower resources for future consideration.
  • Liaise with Master of vessel for planned crew change. 
  • To coordinate for the Pool Officers with Admin Department on the availability of officers reporting back from leave.
  • Keeping fleet managers posted on intended crew changes.
