Position: Plant Administrative Officer
Location: Nagpur
Position Type: Full-time
Reports to: Plant Head
Job Summary: The Plant Administrative Officer plays a critical role in ensuring the smooth administrative functioning of the plant. This position requires strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. The Plant Administrative Officer will work closely with various departments within the plant & HO to support operations and maintain a productive working environment.
Key Responsibilities:
Administrative Support:
Provide administrative support to the Plant Head and other department heads.
Maintain and organize plant records, including personnel files, production reports, and inventory records.
Prepare and distribute internal communications, memos, and reports as required
Assist in misc. plant level procurement, finding local vendors and ensuring smooth functioning of factory operations
Human Resources Assistance:
Arranging labour staff for factory operations and ensure labour available at full strength on daily basis
Assist in the recruitment process by coordinating & scheduling interviews, and maintaining applicant records.
Facilitate new hire onboarding process at Plant level, including paperwork
Maintain accurate employee and labour records and assist with HR-related inquiries.
Facilities Management:
Coordinate maintenance and repairs for plant facilities and equipment.
Manage office supplies inventory and place orders as needed.
Ensure compliance with health and safety regulations and maintain a safe working environment.
Communication and Coordination:
Serve as a point of contact for internal and external communications, including phone calls, emails, and visitors.
Coordinate meetings, including scheduling room bookings, and logistics for anyone travelling to and fro from plant
Financial Administration:
Assist in monitoring of expenses at factory
Process invoices, purchase orders, and expense reports in a timely manner.
Maintain accurate financial records and assist with financial reporting as required.
Compliance and Documentation:
Ensure compliance with company policies, procedures, and regulatory requirements.
Maintain documentation related to permits, licenses, and certifications.
Assist in audits and inspections as necessary.
Assist in govt related liaisoning
Qualifications and Skills:
Bachelor's degree in Business Administration, Human Resources, or related field preferred.
Proven experience in an administrative role, preferably in a manufacturing or industrial environment with 7-8 years of experience
Strong organizational and time management skills with the ability to prioritize tasks effectively.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
Attention to detail and high level of accuracy in work.
Ability to work independently with minimal supervision.
Knowledge of HR practices and regulations is a plus.
