    Purpose of the Job

    We are seeking an experienced and dynamic Executive Assistant & Change Management Specialist having project management skills to join our team. This role requires a highly organized individual with exceptional communication skills, attention to detail, and the ability to thrive in a fast-paced environment. The successful candidate will provide highlevel administrative support to executives, oversee office administration tasks, manage Management Information Systems (MIS), and lead change management initiatives within the organization.

    Key Responsibilities

    Executive Support

    • Provide comprehensive administrative support to CEO, including managing calendars, scheduling meetings, and handling correspondence within agreed timlines.
    • Coordinate travel arrangements and prepare detailed itineraries.
    • Prepare and edit correspondence, reports, and presentations, notes & minutes of the meetings.
    • Assist with special projects and initiatives as assigned.

    Office Administration

    • Ensure smooth office functioning and availability of infrastructure.
    • Arrange for visas for international travel.
    • Develop and implement administrative policies and procedures to streamline
    • operations and ensure efficiency.
    • Organize and maintain personnel records.

    MIS Reporting

    • Ability to interpret design, flowcharts, schedules, plans, report writing presentations.
    • This position is also expected to work as a team with other staff within the Global team. We expect the responsibilities of this role to be relatively fluid in order to meet the needs of our growing and changing team and customer base.
    • Calendar Management: We expect the EA to actively manage the calendar matters of CEO with an overall understanding of business priorities to offer alternatives, trade-offs and consideration of the most efficient use of the CEO's time.
    • Scheduling Meetings/Travel Management: With minimum instruction, proactively follows up on emails when copied, and determine the most appropriate next steps related to scheduling more complex meetings that require participation from multiple stakeholders who often sit in multiple geographic locations.
    • Other ad-hoc activities: As time permits after handling core activities (calendar management, scheduling, travel, and expenses) assist with basic documentation and meeting planning. Supporting the team in Delhi as we continue to grow.

    Project & Change Management:

    • Collaborate with cross-functional teams to drive project execution and deliver results within established timelines.
    • Track project milestones and provide regular updates to stakeholders.
    • Identify risks and develop mitigation plans to address potential challenges.
    • Ensure adherence to project budgets and resource allocation.
    • Facilitation of internal & external workshops, sessions & conferences.

    Relationship Management:

    • Build strong relationships with internal and external stakeholders to facilitate collaboration and support change efforts.
    • Serve as a liaison between executives and other departments, ensuring effective communication and alignment of priorities.
    • Act as a trusted advisor to executives, providing insights and recommendations on organizational matters.

    Qualifications Requirement: Experience, Skills & Education

    • Minimum of 8+ years' experience including minimum 5+ years supporting an executive in a corporate environment
    • Possess excellent communication, sharp analytical abilities with proven design
    • skills, able to think critically of the current designs in terms of usability.
    • Strong command of Microsoft Office especially Outlook and PowerPoint
    • Excellent verbal and written communication.
    • Extensive industry knowledge with an eye towards the future
    • Experience in project management is preferred.
    • Bachelor's degree in Business Administration, Human Resources, or a related field.
