    Role Description

    This is a full-time role as an Executive Assistant to the Chief Executive Officer at CodeGama. As an Executive Assistant, you will be responsible for providing high-level administrative support to the CEO. Your day-to-day tasks will involve managing and organizing the CEO's schedule, coordinating meetings and appointments, preparing expense reports, and assisting with various administrative tasks. This is a hybrid role, offering flexibility for some remote work.

    Roles & Responsibilities:

    • Manage the CEO's calendar.
    • Handle email correspondence and document requests for the CEO.
    • Prepare slides, meeting notes, minutes, and other documents for the CEO and/or Managing Director.
    • Complete critical tasks proactively to support the CEO's leadership role.
    • Handle sensitive or confidential issues directed at the CEO, deciding on the best response or action and coordinating with commercial teams.
    • Create and coordinate various management reports as needed by the CEO, liaising with different departments for data.
    • Ensure seamless communication between the CEO's office and other departments, maintaining trust and leadership credibility.
    • Assist the CEO with report, proposal, and budget preparation, and help manage contracts and stakeholder relationships.
    • Manage the compilation of quarterly board reports.
    • Assist and coordinate strategic planning.
    • Analyze business data effectively.
    • Stay informed on the CEO's upcoming engagements and responsibilities, ensuring timely follow-ups.
    • Provide the CEO with relevant data for efficient time management during meetings.
    • Plan and coordinate major executive meetings and manage senior management team meeting agendas, promoting inter-departmental coordination.
    • Act as an adjunct member of the Executive Team, scheduling and attending all meetings.
    • Produce documents by managing text, data, and graphics across various formats.
    • Organize Board meetings and executive events for the CEO.
    • Maintain and develop organizational systems, procedures, and records according to policy objectives.

    Qualifications:

    • Exceptional communication skills, both verbal and written.
    • Experienced as an Executive Assistant.
    • Highly organized and detail-oriented with excellent multitasking and follow-up abilities.
    • Holds a Bachelor's or Master's degree, or equivalent experience.
    • Skilled in Microsoft Office suite.
    • Experienced in managing multiple priorities and logistical coordination.
