Responsibilities:
· Manage the comprehensive operations of the organization both independently and collaboratively within a team environment.
· Actively participate as a core member of the Operational Team.
· Attend to all inquiries and requests received through various organizational mailing addresses promptly and efficiently, adhering to designated turnaround times (TAT).
· Ensure timely response to client and colleague requests within specified TAT periods.
· Coordinate with vendors, service providers, stakeholders, insurance/TPAs, and Airlines Companies for travel arrangements, reservations, medical clearances, and explore alternative options essential for day-to-day operations.
· Liaise with worldwide medical flight service providers to ensure smooth and timely operational performance.
· Provide extensive assistance and support to clients, including preparation and sharing of quotations.
· Manage operational activities in repatriation cases, overseeing the evacuation process, and offering comprehensive support to both the team and clients.
· Adhere to management directives and actively contribute to network building for the organization, including developing, implementing, and maintaining quality assurance protocols.
· Enhance internal capacity by optimizing existing processes and procedures to increase efficiency.
· Arrange ground ambulance services at origin and destination points as per client requirements.
· Facilitate Doctor on Call and Teleconsultation services as per insurance company and individual client preferences.
· Place GOP for insured members of insurance companies or TPAs.
· Prepare Plan of Mission and flight manifests.
· Maintain records of inbound calls, TPA & insurance cases, ambulance providers, quotation sheets, mortal service providers, hospitals, and clinics.
· Manage databases of partners, vendors, and service providers.
· Submit weekly and monthly reports.
· Handle inbound leads from the SAARC Region.
· Assist in recruiting, training, and supervising operational staff.
· Provide guidance and mentorship to team members to ensure performance objectives are met.
· Cultivate a positive and productive work environment.
· Develop and implement strategies to streamline operations, reduce costs, and enhance productivity.
· Monitor and evaluate the effectiveness of new processes, making necessary adjustments.
· Update databases, master sheets, online platforms, and coordinate with accounts and management for approvals and processing.
· Counsel clients on enquiry conversions and coordinate fulfillment for conversions.
Qualifications and Skills:
· Bachelor's degree in business management, operations management, health management, or related field (Master's degree preferred).
· Proven experience in operations management or related roles.
· Familiarity with medical terminologies and wordings is advantageous.
· Strong leadership and team management abilities.
· Excellent problem-solving and decision-making skills.
· Proficiency in data analysis and reporting software/tools.
· Knowledge of industry-specific regulations and standards.
· Exceptional communication and interpersonal skills.
· Attention to detail and focus on quality.
· Ability to thrive in a fast-paced, dynamic environment.
