Job description
The HR cum Executive Assistant to the Managing Director will manage core human resource functions while providing high-level executive and administrative support to the MD. The role requires strong organizational ability, confidentiality, multitasking skills, and proactive coordination across departments.
Key Roles & Responsibilities
Human Resources Responsibilities
A. Recruitment & Staffing
- Manage end-to-end recruitment process (job posting, screening, interview coordination, offer rollout).
- Coordinate onboarding and induction of new employees.
- Maintain recruitment trackers and hiring reports.
B. Employee Records & Compliance
- Maintain employee files, attendance, leave, and HR databases.
- Ensure statutory compliance (PF, ESIC, labour laws, contracts, documentation).
- Prepare HR letters (offer letters, appointment letters, confirmation letters, etc.).
C. Payroll & Administration Support
- Coordinate payroll inputs, attendance, and leave data.
- Support benefits administration and employee documentation.
D. Employee Engagement & Relations
- Address employee queries and grievances.
- Support performance management and appraisal processes.
- Organize internal meetings, engagement activities, and HR initiatives.
E. Policy & Documentation
- Assist in drafting HR policies and employee handbooks.
- Ensure implementation of company policies and code of conduct.
Executive Assistant to Managing Director Responsibilities
A. Executive Coordination
- Manage MD's calendar, meetings, and appointments.
- Prepare meeting agendas, presentations, reports, and MOM (Minutes of Meeting).
- Handle confidential correspondence and communication.
B. Communication & Follow-ups
- Coordinate with internal departments on behalf of the MD.
- Track project progress and ensure timely follow-ups.
- Draft emails, letters, proposals, and official documents.
C. Travel & Event Management
- Arrange travel bookings, itineraries, and logistics.
- Coordinate meetings, conferences, and official events.
D. Administrative & Strategic Support
- Support MD in strategic planning and business coordination.
- Conduct research and prepare business reports when required.
- Handle vendor coordination and office administration tasks.
Required Qualifications
- Bachelor's degree in HR, Business Administration, or related field.
- MBA (HR) preferred.
- 1–5 years of relevant HR and executive support experience.
