We are seeking a Head of Global Administration to spearhead our company's administrative operations, ensuring seamless functionality across our global facilities and fostering strong relationships with internal and external stakeholders.


    What you'll do:

    Facilities Management: Oversee the management of all company facilities, in Mumbai and offices worldwide. This entails coordinating maintenance, housekeeping, post and couriers, facilities operations and cleanliness,managing the provision of stationary, and ensuring compliance with local regulations.

    Managing Appointments : Manage appointments and bookings for external stakeholders, ensuring efficient scheduling and coordination.

    Travel Coordination : Coordinate internal travel arrangements, including but not limited to access cards for the new building, transportation, and accommodation when necessary.

    Travel Management: Manage global travel arrangements in accordance with standard policies and processes, ensuring efficiency and cost-effectiveness..

    General Administration: Serve as the primary point of contact for government agencies, local authorities, and vendors to ensure compliance with statutory requirements and maintain strong relationships.

    Annual Task/Special Projects: Coordinate and manage company-wide events and initiatives, such as holiday celebrations and special projects.

    Office Space Optimisation: Lead initiatives to make better use of our office space and redesign it as needed to support our expanding team and changing requirements..

    Staff Management: Lead, mentor, and develop a team of administrative professionals, fostering a collaborative and high-performing work environment. This includes managing administrative staff responsible for facilities management, travel coordination, and general administration.

    Budget Management: Drive cost optimization initiatives while maintaining quality services, contributing to the organization's financial health and growth.

    Real Estate and Infrastructure Management: Take charge of negotiating property lease agreements, ensuring efficient escalation and renewal processes, and implementing seamless exit strategies.

    Projects Management: Lead office infrastructure projects, manage office setups, expansions, relocations, and other facility-related projects.



    What you'll need :

    Strong leadership and team management abilities, with a proven track record of effectively leading and developing high-performing teams.

    Exceptional project management skills, with the ability to oversee multiple projects simultaneously and drive them to successful completion.

    Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders at all levels.

    Strong analytical and problem-solving abilities, with a keen attention to detail and a strategic mindset.

    Thorough understanding of facilities management best practices, including building maintenance, security, and compliance.

    Proficiency in budget management, with the ability to analyze financial data and make data-driven decisions to optimize costs.

    Knowledge of real estate and lease management principles, with experience in negotiating and managing lease agreements.

    Experience in change management and process improvement methodologies, with a focus on driving continuous improvement and innovation.
