    Role & responsibilities

    The primary focus of this role will be auxiliary assistance to ensure a positive experience for new contractors. The Onboarding Assistant will assist the stateside Operations team with the onboarding of recruited candidates and payrolled contractors for various clients and locations. The onboarding process includes administrative oversight involving the completion of various pre-employment steps that may include Background checks, drug testing, safety training, employment/education verifications, and customer-specific documents.

    1. Coordinate the completion of new start paperwork, ensuring each document is accurate and completed in a timely manner through our web portal in our ATS (SmartSearch).

    • Initiate Onboarding documents
    • Check for initial errors
    • Monitor progress of Onboarding(s)

    2. Communicate regularly with individual Recruiters/Program Team members on the status of their candidates' onboarding status.

    3. Administer the background check process, the drug screen test, and safety training through our third-party vendors, ensuring that these processes are completed timely and have followed Acara's protocols for completion.

    • Frequent examination of progress in relevant systems/tools
    • Immediate escalation and communication to stateside team for adverse findings

    4. Accurate updating of ATS (SmartSearch) trackers

    5. Post-hire communications and actions (using designed templates)

    • Password set-up and communication(s)
    • Work Order verification and updates
    • Disburse timekeeping information and hand-off to Contractor Care

    6. Comply and adhere to all ISO Quality policies and procedures.

    7. Responsible for various other administrative duties as directed by the Company

    Required Skills / Qualifications:

    1. Any Graduate.

    Years of working Experience ( Minimum 1 year into candidate background verification)

    3. 2+ years of experience using Outlook, Windows, MS Word and Excel.

    4. Willing to work in Night shift (5:30 PM to 2:30 AM)

    5. Excellent communication.
