    Sales and Project Coordinator Role

    We are seeking an organized and proactive individual to fill the position of Sales and Project Coordinator. This role is critical in bridging sales efforts with project execution, ensuring smooth communication, and successful project delivery and client satisfaction.

    The ideal candidate will manage customer inquiries, support the sales team, and oversee the coordination of projects from initiation through completion, keeping all stakeholders informed and aligned.

    Key Responsibilities:

    • Sales Support
      • Assist the sales team in preparing & sending quotations, proposals, and contracts.
      • Respond to customer queries / clarifications to inquiries via phone, email, or in-person, providing accurate information.
      • Coordinate with the operations team to manage and track customer orders, ensuring timely delivery and fulfillment.
    • Project Coordination
      • Oversee the entire lifecycle of a project, from initiation to completion, ensuring timely execution.
      • Collaborate closely with the ops team by being on the projects group and proactively ensure that all queries are responded to effectively & clearly.
      • Monitor project progress, identify potential issues, and proactively resolve them to avoid delays.
      • Maintain a 360-degree view of all projects, providing regular updates to clients, accounts team, sales team, and management on project status and any changes.
    • Client and Stakeholder Communication
      • Act as the primary point of contact for clients throughout the project lifecycle, maintaining active, positive, and proactive communication.
      • Proactively stay in sync with clients and the operations group, keeping a sharp eye on project progress.
      • Update clients with revised or additional quotes and information as necessary and provide overall project updates to both clients and management.
      • Address and resolve any client concerns promptly and effectively to ensure high levels of customer satisfaction.
    • Order and Inventory Management
      • Process sales orders in the system, ensuring accuracy and completeness of information and timely sending the same to clients & internal departments for transparency.
      • Liaise with the ops team and purchase team to ensure timely ordering and execution of the solution to customers.
    • Sales and Project Reporting
      • Prepare regular sales and project reports, including performance metrics, order status, project timelines, and customer feedback.
      • Maintain & analyse data to identify trends and provide insights to the sales and project management teams for strategic planning and process / project improvement.
      • Assist in the preparation of presentations and reports for management review.
    • Administrative Support
      • Coordinate & schedule meetings, appointments & travel arrangements for the sales / project teams.
      • Handle admin tasks such as filing, document management & correspondence related to sales and project activities.
      • Support the team with special projects, events, and other tasks as required.

      Requirements:

      • Bachelor's degree in Business Administration, Project Management, Marketing, or a related field.
      • Proven experience as a Sales Coordinator, Project Coordinator, or similar role.
      • Strong organizational skills with the ability to manage multiple tasks and projects simultaneously.
      • Excellent communication and interpersonal skills.
      • Proactive mindset with a strong ability to anticipate and address challenges.
      • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and project management software.
      • Ability to work both independently and as part of a team. Customer-focused with a commitment to delivering high-quality service.
