    Currently House of Shipping is looking to identify a high caliber Assistant Manager Human Resource Operations & Total Rewards.

    Job purpose

    This Assistant Manager level role will focus on Total Rewards, providing operational support, analytical expertise, and payroll oversight to assigned business units on compensation, benefits, and other reward programs. You will work closely with HR operations, leadership, and payroll teams to ensure the smooth execution, administration, and accuracy of Total Rewards initiatives.

    Main tasks and responsibilities

    HR Operations Documentation & Administration:

    • Develop and maintain comprehensive documentation for Total Rewards programs, including policies, procedures, and FAQs.
    • Partner with HR operations teams to ensure accurate and efficient data entry and administration of compensation and benefit programs.
    • Conduct audits and reviews of HR operations processes related to Total Rewards to identify and address any inconsistencies.
    • Contribute to the development and implementation of new HR technology solutions (e.g., HRIS) to streamline Total Rewards administration.
    • Total Rewards Analysis & Documentation:
    • Conduct market research and analyze compensation and benefit data to inform Total Rewards strategy and decision-making.
    • Knowledge of Mercer/ Hays methodology, salary and grading structure creation experience.
    • Job evaluation and competency mapping experience.
    • Prepare reports and presentations to communicate complex Total Rewards information to business leaders and employees.
    • Develop and maintain data models and dashboards to track key metrics related to Total Rewards programs.
    • Track industry trends and best practices in Total Rewards management and recommend enhancements to existing programs.

    Payroll Responsibilities:

    • Create and executive monthly payroll for GCC, SEA, etc. offices.
    • Collaborate with payroll teams to ensure timely and accurate processing of payroll for assigned business units.
    • Investigate and resolve payroll discrepancies in a timely manner.
    • Communicate payroll policies and procedures to employees and managers.
    • Stay up-to-date on payroll regulations and legal requirements.

    Communication & Collaboration:

    • Communicate effectively with employees at all levels to explain Total Rewards programs and answer questions.
    • Develop and maintain strong relationships with business leaders, HR operations staff, payroll teams, and other stakeholders across the organization.

    KPI

    HR Operations & Administration:

    • Completion and update of all core Total Rewards program documentation within Q2.
    • Maintain a data accuracy rate of 99% for payroll and benefits administration.
    • Conduct quarterly audits and resolve all identified discrepancies within 30 days.
    • Successfully implement at least one HR technology solution to improve Total Rewards administration efficiency within the year.

    Total Rewards Analysis & Documentation:

    • Develop and present quarterly Total Rewards market analysis reports.
    • Develop clear and concise communication materials resulting in a minimum 80% employee understanding score on key Total Rewards programs.
    • Implement a data dashboard system to track key Total Rewards metrics by Q2.
    • Recommend and implement at least two Total Rewards program improvements based on industry best practices annually.

    Payroll Responsibilities:

    • Maintain a 99.5% on-time and accurate payroll processing rate.
    • Resolve all payroll discrepancies within 5 business days.
    • Conduct at least two payroll information sessions for employees per year.
    • Successfully complete all required payroll regulatory training annually.

    Communication & Collaboration:

    Achieve a minimum 85% employee satisfaction rating on HRBP communication regarding Total Rewards.

    Background and experience

    • Bachelor's degree in Human Resources Management, Business Administration, or a related field (Master's degree preferred).
    • Minimum 3-5 years of experience in a Total Rewards or compensation and benefits role, with some experience in payroll processing or related activities.
    • Total Rewards Certification, Comp & Ben Certification, Mercer Methodology, Hays Methodology.
    • Job evaluation and competency mapping experience.
    • Strong understanding of HR principles, practices, employment law, and payroll regulations.
    • Excellent analytical and problem-solving skills with experience in data analysis.
    • Strong communication and interpersonal skills, with the ability to build strong relationships with diverse stakeholders.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and HR Information Systems (HRIS) experience is required. Experience with payroll software a plus.
