    The Executive Assistant to the Keiretsu Forum Northwest Executive Director and Director of Business Development is responsible for overseeing all administrative and operational support aspects of Business Development department.

    Including but not limited to general office administration, and partner and prospect partner relationships. The role has many different responsibilities.

    The best candidate will be able to seamlessly transition from email to returning phone calls to setting appointments to scheduling travel to sending thank you letters.

    As a Business Development Executive Assistant at Keiretsu Forum Northwest & Rockies, you will play a vital role in supporting the business development initiatives and operations of the organization.

    Working closely with the Executive Director and the Business Development teamand stakeholders, you will contribute to the growth and success of the forum by assisting in various tasks related to business development, relationship management, and administrative functions.

    Tasks/Responsibilities

    Essential Functions of Business Development Executive Assistant
    Intensive Planning including business development event production calendar, meeting/schedule coordination
    Sync up daily on daily, weekly and monthly action items/priorities
    Screening of phone calls, routing email inquiries / entering event registrations
    Sort and manage incoming email communications and prioritize follow-up messages

    Respond/forward to email as appropriate to answer questions, make referral to appropriate team members, coordinate follow up and setup meetings, etc.

    Prioritizing incoming and ongoing action items to improve productivity
    Copy notes from meetings into information systems and update database(s)
    File email and attachments as appropriate for later reference
    Manage master calendar updates, meeting/schedule coordination, make travel arrangements and screen phone calls, emails, and incoming mail
    Making appointments and keeping daily record of schedules, this includes arranging and preparations for meetings, lunches, dinners and other business related and personal events
    Prepare regular reports and updates on business development activities, including prospecting efforts, engagement metrics, and conversion rates.
    Create outbound marketing and communications messages via email, LinkedIn, text message, and other mediums.

    Operations, Communications & Admin Support
    Maintain database records for business development contacts including

    community partners, syndication partners, sponsors, prospects, and key relationships
    Organize and prioritize large volumes of information; data entry by updating CRM's and complex activities
    Update all new contacts and contact data into system with notes
    Ensure a clean database each month and update/remove incomplete records
    Support tracking of partner logo placements, contract deliverables and execution timelines
    Streamline and update office workflows and systems (including automation and other improvements)
    Sort and manage incoming email communications and prioritize follow up messages
    Prioritizing incoming and ongoing action items to improve productivity
    Copy notes from meetings into information systems and update database(s)
    Manage master calendar updates, meeting/schedule coordination, make travel arrangements and screen phone calls, emails, and incoming mail
    Management of the daily schedule to ensure priority items are completed

    Making appointments and keeping daily record of schedules, this includes arranging and preparations for meetings, lunches, dinners and other business related and personal events.

    Qualifications
    Experience in business communication or another relevant field
    Skills with Office 365, Task Management Software and CRM
    Ability to work pro-actively and drive team performance towards objectives
    Strong attention to detail
    Excellent written and oral communication skills
    Must be organized and be able to organize fellow team members
    Must have experience of working with US-based companies and US time zone.
    Knowledge of the investment landscape, or angel investing is a plus.
    Proven experience in administrative support, business development, or similar roles.
