    Job Description

    Key Responsibilities:

    Ø Administrative Support: Provide comprehensive administrative support to the executive, including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for meetings.

    Ø Communication: Act as the point of contact between the executive and internal/external clients. Handle incoming calls, emails, and other communications promptly and professionally. Manage the flow of information to members of the executive leadership team as needed.

    Ø Meeting Coordination: Organize and coordinate executive meetings, conferences, and teleconferences. Take minutes during meetings as required and follow up on action items.

    Ø Document and Presentation Preparation: Prepare reports, presentations, and data, as well as maintain files, records, and documents for easy retrieval and organization. Ensure that all documents and reports are prepared with accuracy and delivered timely.

    Ø Project and Event Management: Assist in project management tasks, including tracking deadlines, updates, and stakeholders involved. Help in organizing company events, conferences, or board meetings.

    Ø Confidentiality: Maintain the utmost discretion and confidentiality in handling sensitive information pertaining to the business and its operations, as well as personal matters of the executive.



    Requirements

    Qualifications:

    Master degree in Business Administration (finance), Communications, or a related field.

    Ø Proven experience as an Executive Assistant or in other secretarial positions, with a minimum of 3-5 years of experience supporting C-Level executives.

    Ø Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to learn company-specific software if required.

    Ø Exceptional organizational skills and impeccable attention to detail.

    Ø Excellent communication skills, both written and verbal, with the ability to draft correspondence and other communications quickly and efficiently.

    Ø Ability to multitask and prioritize daily workload.

    Ø High level of professionalism and discretion in handling confidential information.

    Ø Flexibility and adaptability to handle a wide range of tasks and to work in a dynamic and often fast-paced environment.

    Ø Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
