Position Overview:
We are seeking an organized, adaptable, and efficient Personal Assistant to support our Managing Director. The ideal candidate will have a representable personality and should be comfortable with foreign travel, holding a valid passport. As a Personal Assistant, you will play a key role in ensuring the Managing Director's day-to-day operations run smoothly.
Key Responsibilities:
Administrative Support: Provide comprehensive support to the Managing Director, including managing schedules, booking travel arrangements, organizing meetings, and maintaining important documents.
Communication: Serve as the point of contact between the Managing Director and internal/external stakeholders, handling communications with professionalism and discretion.
Travel Coordination: Plan and coordinate travel itineraries for domestic and international trips, ensuring all logistics are arranged, including flights, accommodation, and transportation.
Meeting Coordination: Schedule and organize meetings, prepare agendas, and ensure meeting materials are ready in advance.
Office Management: Assist in maintaining office operations, including ordering supplies, managing expenses, and coordinating with other departments as needed.
Confidentiality: Handle sensitive information with utmost confidentiality and exercise discretion in all communications.
Requirements:
Educational Background: A Bachelor's degree in Business Administration, Office Management, or a related field is preferred.
Experience: At least 3 years of experience as a Personal Assistant or Executive Assistant, preferably with senior management.
Travel Requirements: Willingness and ability to travel abroad; a valid passport is mandatory.
Personality Traits: Representable, professional, and approachable personality.
Skills:
Excellent verbal and written communication skills in English.
Strong organizational skills with a high level of attention to detail.
Ability to multitask and prioritize tasks effectively.
Preferred Qualifications:
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
Problem-Solving Skills: Ability to anticipate needs, think critically, and propose effective solutions.
Foreign Language: Fluency in an additional language (e.g., Hindi, Punjabi) is an advantage.
