    Job Title: Event Coordinator (Onsite)

    Job Location: Bangalore (Adugodi)

    Shift Timings: 6:30 P.M IST - 3:30 A.M IST

He/she is expected to verify and validate each document as per the client's compliances and raise findings if he/she finds any document to be missing or incomplete resulting in non-compliance. Applicant is expected to work within tight timelines and ensure 100% accuracy and compliance.

    The Event Coordinator (EC) will help organize outstanding and unforgettable events. EC will be responsible for every part of event preparation, such as understanding business requirements, choosing venues, working with hotels, and audio-video vendors, creating F&B packages, and creating event proposals based on the event requirement.

    As the Event Coordinator, you should be well-organized and possess a sound knowledge of vendor management. Excellent communication and attention to detail are skills vital in this role, as our success depends on meeting our client's tailored requirements.

    Responsibilities:

    • Identify the client's requirements and expectations for each event. Create RFPs based on the requirements.
    • Liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.
    • Follow up with venues, vendors, and partners to ensure smooth functioning of the event before the event date.
    • Maintain event budgets and savings tracker.
    • Book venues, entertainers, artists, vendors
    • Develop day of event materials including but not limited to Run of Show, event script, event briefings, manpower briefing, vendor briefings, etc.
    • Develop post-event wrap-up reporting: Recap, Reports and Receipts, pictures & event feedback.
    • Conduct final inspections on the day of the event to ensure everything adheres to the client's standards.
    • Assess an event's overall success and submit findings.

    Requirements:

    • At least 3-4 years' experience as an event coordinator and at least 1-2 yrs. experience handling grand events of more than 500 participants.
    • Proficiency in PowerPoint, Excel, and word
    • You have been responsible for executing and planning dozens of events simultaneously and successfully.
    • You have regional and national event planning and management experience.
    • You have managed internal corporate events.
    • You have demonstrated proven results using event analytics to show the impact on the bottom line.
    • You have negotiating skills.
    • Well-organized with excellent multi-tasking abilities.
    • Will require excellent writing skills to handle event preparation documents and communication internally/externally.
    • Experience in Audio Video production is a plus.
    • Experience conducting virtual events is a plus.
    • Bachelor's degree in hospitality management or public Relations is preferred.
    • Strong communication and interpersonal skills.
