    Job Description

    Document controller is responsible for managing, organizing, and distributing the official documents of a project or an organization. The role involves ensuring that all documents are accurate, complete, and compliant with the relevant standards and regulations. A document controller also maintains the version control and security of the documents, as well as the records of their distribution and approval.

    1. Establish and implement a document management system that suits the needs and requirements of the project or organization.
    2. Create and maintain a document register that tracks the status, location, and history of all documents.
    3. Assign document numbers, codes, and metadata to ensure easy identification and retrieval of documents.
    4. Review and edit documents for accuracy, quality, and consistency before issuing them to the relevant parties.
    5. Distribute and archive documents according to the approved procedures and protocols.
    6. Monitor and update the document management system regularly to reflect the changes and revisions of the documents.
    7. Respond to requests and queries from internal and external stakeholders regarding document availability, access, and usage.
    8. Collaborate with other document controllers and project team members to ensure smooth and efficient document flow and communication.
    9. Prepare reports and statistics on document management activities and performance.
    Qualifications
      • A bachelor's degree or diploma in information management, business administration, engineering, or a related field.
      • A minimum of two years of experience in document control or a similar role, preferably in a project-based environment.
      • Proficiency in using document management software and tools, such as SharePoint, Office 365, Adobe Acrobat, etc.
      • Knowledge of document management standards and best practices, such as ISO 9001, ISO 27001, etc.
