- Organize and maintain executive calendars, scheduling meetings, appointments, and travel arrangements efficiently.
- Prioritize conflicting needs and ensure timely handling of matters, proactively following through on projects to successful completion.
- Screen and manage phone calls and emails, responding to inquiries as necessary.
- Draft, edit, and proofread correspondence, communications, presentations, and other documents.
- Coordinate and prepare materials for meetings, conferences, and presentations.
- Record minutes and maintain comprehensive records of executive meetings.
- Prepare and manage expense reports, ensuring accuracy and timely reimbursements.
- Maintain organized office filing systems, ensuring confidentiality and accuracy of records.
- Procure office supplies and manage inventory to ensure adequate stock levels.
- Handle sensitive information with utmost discretion, maintaining confidentiality at all times.
- Arrange travel itineraries, accommodations, and logistics for business trips efficiently.
- Optimize travel arrangements to meet executive requirements while ensuring cost-effectiveness.
- Provide support for special projects and assist other departments as needed.
- Master's degree in Business Administration, Secretarial Studies, or related field preferred.
- Minimum of 1 years of experience as a Personal Secretary or similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Ability to work independently with minimal supervision.
- High level of professionalism and discretion. Strong attention to detail.
