    [What the role is]
    Muis is initiating the development of a higher educational institution as part of the larger plans to strengthen the education and training opportunities for Singapore's Islamic scholars and teachers. The institution is envisioned to offer tertiary level programmes.

    We are seeking a highly organized and detail-oriented individual to join our team as an Executive / Senior Executive, Administration and Operations. The successful candidate will be responsible for overseeing various administrative and operational functions within our institution. The role involves coordinating with internal and external stakeholders, managing student and staff records, and ensuring compliance with institutional policies and regulations.

    [What you will be working on]

    Key Responsibilities:

    Student and staff management:

  • Manage registration processes for students and modules.
  • Coordinate results, transcripts, and certificate issuance.
  • Maintain and update student records.
  • Coordinate with recruitment agency on staff recruitment matters such as sourcing and shortlisting candidates, issuing employment contracts, processing payroll, etc.
  • Liaise with internal and external parties to manage work passes (where applicable), accommodation, insurance, flight, and honorarium matters for visiting faculty and staff.
  • Perform orientations, onboarding, and update records with new hires.
  • Coordinate activities to support staff well-being and engagement.
  • Academic coordination:

  • Coordinate the scheduling of classes and allocation of class and facility resources.
  • Oversee the scheduling of all key programmes offered by the institution.
  • Coordinate with lecturers and tutors to create and communicate lecture and tutorial schedules.
  • Ensure timely communication of important academic dates to all stakeholders.
  • Course evaluation management:

  • Create, publish, and monitor course evaluation questionnaires from students and faculty.
  • Collate, analyse and distribute course evaluation reports to stakeholders.
  • Policy coordination, revision compliance:

  • Collaborate with relevant units to maintain and update the institute's academic and administrative handbooks, policies and Standard Operating Procedures (SOPs).
  • Provide support for policy revision initiatives, ensuring alignment with regulations and institutional requirements.

  • Tertiary education in Business Administration, Education, or related field.
  • Proven experience in administrative and operations management within an educational institution.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Familiarity with regulatory compliance and policy implementation.
  • Proficiency in Microsoft Office suite and database management.
