    JOB DISCRIPTION

    Position : Executive Assistant

    We are looking for an executive assistant to support our Director with various administrative and clerical tasks. The executive assistant will be responsible for handling the day-to-day activities of the Director, such as scheduling meetings and appointments, managing correspondence and communication, preparing reports and presentations, organizing travel arrangements, and maintaining records and files.

    To be successful in this role, you should have previous experience as an executive assistant or a similar role in a chemical or related industry. You should also have excellent organizational, communication, and problem-solving skills, as well as a high level of professionalism. You should be able to work independently and efficiently under pressure and handle multiple tasks and deadlines.

    Responsibilities:

    • Act as the primary point of contact for the Director and liaise with internal and
    • external stakeholders on behalf of the Director.
    • Provide comprehensive administrative support to the Director, including
    • managing the Directors calendar and schedule meetings and appointments.
    • Coordinate travel arrangements and logistics for the Director and other staff as
    • needed.
    • To Act as a gatekeeper, screen, and prioritize incoming calls, emails, and other
    • forms of communication, and responding or redirecting as appropriate.
    • Prepare and edit correspondence, reports, presentations, and other documents
    • for the Director.
    • Coordinate and manage executive meetings, conferences, and events, including
    • arranging logistics, preparing agendas, and taking minutes.
    • Organize and maintain the Directors office, files, records, and databases.
    • Coordinate and oversee special projects assigned by the DIRECTOR, tracking
    • progress, monitoring deadlines, and providing regular updates.
    • Handle confidential and sensitive information with discretion and integrity.
    • Coordinate with other departments and teams to facilitate smooth communication
    • and collaboration.
    • Serve as a liaison between the Director and staff members, relaying messages
    • and ensuring effective communication.
    • Perform other duties as assigned by the Director.
    • Qualifications:
    • MBA or Masters from Science Field or Chemical Engineer or Any other
    • Engineer.
    • At least 3 years of experience as an executive assistant or a similar role in a
    • chemical or related industry
    • Proficiency in using productivity tools and software such as Microsoft Office
    • Suite, email clients, and calendar management tools.
    • Excellent verbal and written communication skills
    • Strong organizational, time management, and multitasking skills
    • Attention to detail and accuracy.
    • Ability to work independently and as part of a team.
    • Ability to multitask, prioritize tasks, and work under pressure.
    • Ability to handle confidential and sensitive information with discretion and
    • integrity.
    • Knowledge of the chemical industry and its regulations, standards, and best
    • practices
