Timings –
Monday – Friday – 10AM -7PM
1st,3rd,5th Saturday – 10AM – 4PM
2nd & 4th Saturday – Off.
Responsibilities
Budgeting and Planning:
To prepare and finalised the admin department activities and budget as per F.Y in coordination with concern personnel and Mangement approval
Time to time updation & reconcilation of actual spend expenses as per activity wise
At the end of F.Y , complete actual expenses updation and submission to the management for forecast budget preparation of next F.Y.
Vendor Management
Responsible for AMC of lifts, AC, Housekeeping, etc. and ensure proper service of all these all the time, ensure monitoring & renewal of AMC's to avoid any late charges.
Participate to formulate workflow processes, methods and policies for applying vendors.
Liaison with various financial institutions to get the best quotations for vehicle loan
Administrative Management
Supervision of the housekeeping staff
Manage the daily activities of the Housekeeping department to include appropriate cleaning of all offices, concourses, seating areas etc..
Purchase, re-order and maintain housekeeping supplies and inventory.
Managing drivers, peons, etc. and distribution of work amongst them
All other work assigned by Management/HOD from time to time
Responsible for air travel and ticket booking, vehicle booking and hotel/guest house arrangement for employees, Directors, guests in the most cost effective manner
Record Keeping Management
Keeping record of all legal and administration documents
Ensure proper safeguarding of all documents and should be available immediately when required.
Provide help to seniors in preparation of legal matters for court cases
Preparation of all MIS & reports as required by seniors
Insurance
Keep track of all payment due dates of Director's insurance (Mediclaim, Vehicle, etc.)
Ensure timely payment of premiums to avoid any late charges/penalty/lapse
Ensure safeguarding of all policy documents
Self Development
Attend all training programs (behavioral/ technical), seminars
conducted/sponsored by company
Initiate self learning and gain knowledge of other skills
