    Overview:

    If you think project management is just moving sticky notes around, updating spreadsheets, or pretending that "communication is happening" when nobody knows what's actually blocking them, do not apply.

    At , we don't do "project management theater." We don't do status update meetings where nothing changes. We do Operational Intelligence based on Real-Time Data and Ruthless Process Design.

    We are looking for a Senior Project Operations Manager who understands that a project management system is simply a Command Center that visualizes Dependencies, communicates Blockers, and orchestrates Execution across Design, Development, and Account Management teams.

    Your job is to close the gap between the Promised Timeline and the Actual Timeline—and then eliminate that gap permanently.

    Who You Are:

    • You Are a Systems Detective, Not a Task Executor: You know that most project delays aren't about effort, they're about broken handoffs and unclear dependencies. You dig into why projects get marked "Impossible Schedule," and you fix the system, not just the symptom.
    • You Design for Coordination, Not Control: You understand that Account Managers, Designers, and Developers all speak different languages. Your job is to build a system that lets them coordinate without adding friction. You don't manage people; you manage the process they work within.
    • You Hate "Status Quo": You look at our current Notion setup and immediately see what's broken: duplicate timelines, unclear handoff points, no forward visibility. You don't accept "that's how we've always done it."
    • You Prioritize Ruthlessly: You know the ICE Framework applies to process improvement too. You don't optimize everything; you identify the 2-3 systemic issues that unlock everything else.

    What You Will Do (The Operations Loop):

    • Operational Audit: You will analyze our current project tracking system—Notion databases, timelines, status pipelines. You'll interview Account Managers, Lead Designers, and Lead Developers to identify friction points, bottlenecks, and where time is actually disappearing.
    • Root Cause Analysis: You will dig into why certain projects get stuck in "Quality Inspection" or "Issues Found." You'll identify if it's a handoff problem, estimation problem, or scope problem—and you'll present a fix.
    • Process Design: You will redesign our Notion workspace to be intuitive, automated where possible, and impossible to misuse. You'll create clear stages, eliminate redundancy, and build in forward visibility (30/60/90 day pipeline).
    • Coordination & Escalation: You will conduct regular sync meetings with Account Managers, Designers, and Developers. You'll identify blockers before they become crises, escalate impossibilities early, and keep projects moving on schedule.
    • System Maintenance: You will continuously monitor project health. You'll track which types of projects tend to run late, which teams have capacity issues, and you'll flag systemic problems as they emerge (not after they've happened 5 times).
    • Intel Over Perfection: Even when projects go sideways, you extract the learning. You build a knowledge base of "why did this fail?" so we never repeat the same mistake twice.

    Requirements:

    • 3+ years in Project Operations, Project Management, or Operations Coordination (preferably in outsourced/distributed team environments or BPO/outsourcing operations).
    • Mastery of Notion: You've designed custom databases, built complex relations, set up automations, and created templates that people actually want to use. You understand how to build a system, not just fill one.
    • Deep Experience Coordinating Across Functional Teams: You've worked with designers, developers, account managers, or similar mixed teams. You understand their different priorities and you can translate between them.
    • Ability to Spot Friction and Flow: You can watch a team's workflow and immediately identify where time is being wasted, where communication breaks down, or where handoffs are failing.
    • Strong Communication Skills: You can explain a broken process to a designer, a timeline to a developer, and a capacity constraint to an account manager in their language, not yours.
    • Analytical Mindset: You track metrics that matter (on-time delivery rate, cycle time, blockers, capacity utilization). You make decisions based on data, not feelings.

    Hours:

    This position is full-time remote with flexible hours that overlap with EST business hours (9am-5pm EST Monday-Friday minimum), though we operate across multiple time zones.
