Description
Implement document control strategies, policies, and procedures to effectively manage the organization's documents and records.

  • Maintain and administer the document management system or software, ensuring its smooth operation and user accessibility. Train employees on how to use the system effectively.
  • Establish and enforce document control processes, including document numbering, version control, review and approval workflows, and archiving. Ensure compliance with relevant regulations and standards.
  • Coordinate document review and approval processes, collaborating with relevant stakeholders, such as project managers, engineers, and quality assurance personnel. Track and monitor document progress and provide regular updates.
  • Manage the distribution of documents to authorized individuals or departments, ensuring they receive the necessary information in a timely manner. Maintain an accurate record of document distribution and retrieval.
  • Develop and maintain documentation standards, templates, and formats to ensure consistency and clarity across all documents. Provide guidance to employees on adhering to these standards.
  • Conduct regular audits and inspections to verify document compliance, accuracy, and completeness. Identify and address any nonconformities or issues that arise during the audit process.
  • Ensure the confidentiality, integrity, and availability of sensitive and confidential documents. Implement appropriate security measures to protect against unauthorized access, loss, or damage.
  • Provide training and support to employees on document control processes, software usage, and best practices. Act as a resource person for document controlrelated queries and issues.
  • Identify opportunities for process improvement and implement changes to enhance the efficiency and effectiveness of document control operations. Stay updated with industry trends and emerging technologies in document management.

Qualifications and Skills:


  • Bachelor's degree in a relevant field (such as information management, records management, or business administration) or equivalent experience.
  • At least 5 years' experience as a Document Controller, 2 years as a Senior DC.
  • Experience with document management systems or software (BIM360, Unifier, Sharepoint etc.)
  • Proficiency in using productivity tools like Microsoft Office (Word, Excel, PowerPoint) and other document control software.
  • Excellent organizational skills and attention to detail.
  • Strong communication and interpersonal skills to collaborate with crossfunctional teams.
  • Familiarity with relevant regulations and standards related to document control (e.g., ISO standards, regulatory requirements).
