Front Office Executive
Responsibilities:
Welcome and Greeting:
Provide a warm and friendly welcome to visitors, clients, and employees entering the premises. Offer assistance and direct them to the appropriate departments or individuals.
Telephone Management:
Handle incoming calls, route them to the correct personnel, take messages, and provide information as required. Maintain a professional and courteous tone during all interactions.
Appointment Scheduling:
Manage appointment calendars, schedule meetings, and arrange conference rooms. Notify concerned parties about upcoming appointments and maintain an organized schedule.
Visitor Management:
Register and issue visitor badges, ensuring that security protocols are followed. Monitor and control access to the premises, maintaining a secure environment.
Documentation:
Prepare, maintain, and update various documents, records, and reports. Ensure accuracy and completeness of information.
Mail and Courier Management:
Receive, sort, and distribute incoming mail and packages. Prepare outgoing mail and packages for courier services.
Problem Solving:
Address and resolve visitor, employee, and client concerns or issues in a timely and effective manner, escalating when necessary.
Administrative Support:
Assist various departments with administrative tasks such as data entry, filing, photocopying, and other general office duties.
Maintain Cleanliness:
Ensure the front office area is clean, organized, and presentable at all times.
Qualifications:
Education:
Bachelor's degree in a relevant field.
Experience:
Minimum of 4 years of experience in front office management or a related role.
Languages:
Fluent in English, Hindi, and Telugu. Excellent communication skills in all three languages, both written and verbal.
Professional Appearance:
Neat and professional appearance with a strong emphasis on representing the organization positively.
Customer Service Skills:
Exceptional customer service and interpersonal skills to effectively interact with a diverse range of individuals.
Computer Proficiency:
Proficient in using MS Office (Word, Excel, Outlook) and other relevant software.
Organizational Skills:
Strong organizational and multitasking abilities with keen attention to detail.
Problem Solving:
Demonstrated ability to handle challenging situations and resolve issues diplomatically.
Availability:
Must be available to work regular office hours and occasional extended hours when required.
