TRAVEL COORDINATOR, UK iCRC Business Administration


As Travel Coordinator you will be responsible for effectively supporting complex travel requests and managing internal travel processes and procedures.


The role will be responsible for communicating best practice and guidance to the UK business in relation to company travel.


You will oversee and coordinate travel requests for UK employees and work with the UK Travel team to ensure requests are met.


YOUR NEW ROLE, WHATS INVOLVED?

  • Management of daytoday travel operations across the UK Business. Accurately and effectively service travel requests from enquiry to reconciliation. Ensure air, hotel, rail and/or other ancillary service reservations fully meet the staff expectations, whilst adhering to internal policies and procedures.
  • Offer advice and make suggestions where appropriate regarding routes and best value carriers.
  • Ensure that administration staff adhere to and are kept up to date with relevant policies and procedures as well as technology changes to be able to deliver an outstanding client experience.
  • Have good knowledge of WSP's systems and act as the first point of contact for questions.
  • Provide support during cancellations, postbooking queries and amendments to travel plans.
  • Handle unforeseen problems, report issues, escalating potential risks and identify solutions as appropriate.
  • Ensure attention to detail, keeping errors and mistakes to an absolute minimum so WSP does not incur financial losses or client complaints due to individual error.
  • Ensure the relevant health and safety checks are completed adhering to WSP international and domestic travel policies and procedures.
  • Assist Business Units with large and/or complex international travel bookings liaising with agreed local support incountry.
  • Promote selfservice travel tools and communicate openly across the business on best practice.
  • Comply with WSP's Business Expenses policy, travel approval process and signpost staff to the policy when required.
  • Support the Business Support Team and wider Business Administration Team as and when required.
  • Create a culture of trust and openness though the sensitive and confidential handling of information.
  • Support the smooth running of the team by highlighting and addressing areas of potential improvement.
  • Proactively contribute to ensuring a safe and healthy working environment.

WE'D LOVE TO HEAR FROM YOU IF YOU

  • Have extensive experience in delivering a highquality travel and administration support service in a demanding and pressurised environment. Previous experience in similar roles considered.
  • Have excellent geographical knowledge.
  • Possess a professional and confident manner.
  • Have proven experience in managing travel in a customer facing role.
  • Proactively manage expectations, with excellent organisational and interpersonal skills.
  • Have strong verbal and written communication skills, with excellent attention to detail.
  • Are fully conversant to an advanced level in Microsoft 365, including Word, PowerPoint and Excel.
  • Can problem solve and use own initiative.
  • Communicate openly and proactively share knowledge and best practice.
  • Have a desire to work in a fastpaced environment.
  • Act with integrity and discretion.
  • Can work independently and collaborate with others, providing flexibility and support to other colleagues during times of heavy workload and absenteeism.
  • Can build effective working relationships with colleagues across the organisation.
  • Can demonstrate ownership of personal and professional development.
