Job Description

We are looking for a Project Documentation Assistant to join our project unit in Mumbai. As Project Documentation Assistant you are a between Valmet project unit and customer's documentation organization.

In this position your main task is to collect, edit and issue technical documentation for Valmet customers using our DMS system.

You will be daily communicating with our sales office personnel, project managers, project engineers and our global sales teams and other team members.

To succeed in this position, you should have hands-on attitude towards the work.

You should be able to solve problems with different stakeholders and willing to bring up development ideas and new best practices.

On the other side you should have the ability and earlier experience from tasks where your tasks have required paying close attention to details and working individually for long time periods.

Documentation has deadlines which must be respected.

While following schedules of multiple projects you are able and willing to communicate of possible problems and do necessary follow up in solving them.

It is considered as an advantage if you have experience in using DMS systems. A good command of MS Word and MS Excel and preferably Adobe programs. You speak and write English fluently. Any other language is an advantage.

Delivery documentation management:
Collecting project documents and preparing them for the document management system (Kronodoc). Creating document cover sheets and index with MS-Office and DMS tools. Submitting documents to the customer for approval. Document change management and status control.


Preparation of final documentation:

  • Compiling and delivering the final documentation according to the project contract in the correct format (including cover pages, tables of contents, folders).
  • Organizing and/or printing hard copies.
  • Organizing translations for selected documents.

Development tasks:
Development tasks related to one's own job description, utilizing e.g., Kanban board.


Necessary knowledge and skills:

  • Good communicative abilities. The work involves a lot of communication with various stakeholders, including customers.
  • From ICT skills to good management of Office programs, as well as Adobe Reader. Experience with documentation systems is an advantage.
  • The work requires attentiveness and systematic approach, as well as the ability to focus on several projects at different stages during the same day.

Effects of solutions and decisions:

Interaction:
Cooperation with internal and external stakeholders. These include sales offices, project managers, and PU project engineers. The most important external stakeholders are direct contacts with the customer's documentation organization.


Task and management responsibilities:
The task is independent but depends on the schedule of the projects. Delivering project documentation according to the customer's schedule and prioritization is ultimately dependent on the performance of the DA.
