invoices, manage their outstanding and monitor their stock on the go. myBillbook is currently being used
by more than 7M+ businesses across 1000+ towns, with over $6 billion annual transactions and we are
growing 100% month on month.
Position Overview:
We are seeking a motivated and dedicated individual to join our team as an Executive Assistant Intern to provide support to our CEO.
The Executive Assistant Intern will assist with administrative tasks, coordination of activities, and contribute to the overall efficiency of the CEO's office.
This position requires a proactive mindset, strong organizational skills, and the ability to maintain confidentiality.Responsibilities:
Administrative Support:
Assist in managing the CEO's calendar, scheduling appointments, and organizing meetings.
Prepare meeting agendas, documents, and presentations as required.
Communication and Correspondence:
Assist in drafting, editing, and proofreading correspondence, reports, and other documents.
Maintain professional and effective communication with internal and external stakeholders.
Meeting Coordination:
Assist in coordinating and scheduling meetings, including booking venues, sending invitations, and organizing catering.
Attend meetings with the CEO, take accurate notes, and prepare meeting minutes.
Follow up on action items and ensure deadlines are met.
Information Management:
Maintain and organize files, records, and documents in a systematic manner.
Assist in conducting research and gathering data for various projects and initiatives.
Stay updated on industry news, market trends, and competitor activities, providing relevant updates to the CEO.
Project Support:
Assist in the coordination of special projects, tracking progress, and updating project status reports.
Collaborate with cross-functional teams to ensure smooth execution of projects.
Contribute ideas and suggestions for process improvement and efficiency.
Relationship Management:
Support the CEO in building and maintaining relationships with key stakeholders.
Assist in coordinating and scheduling meetings with board members, executives, and senior leadership.
Maintain a professional and courteous demeanor while representing the CEO and the organization.
Miscellaneous Tasks:
Assist with general office duties such as filing, photocopying, and organizing documents.
Help with travel arrangements and logistics for business trips.
Undertake ad-hoc tasks and responsibilities to support the CEO's objectives.
Qualifications and Requirements:
Currently pursuing a Bachelor's degree in business administration, management, or a related field.
Strong organizational and time management skills, with the ability to prioritize tasks effectively.
Excellent written and verbal communication skills, with attention to detail.
Ability to handle confidential information with discretion and maintain a high level of professionalism.
Proactive and self-motivated with the ability to work independently and as part of a team.
Strong problem-solving skills and a willingness to learn and adapt quickly.
Professional demeanor and the ability to represent the CEO and the organization in a positive manner.
