Roles:


  • Execution & deliver as per expectations /objectives set.
  • To execute the task assigned by the Manager-Admin /HOD.
  • To handle the reception, front office works, clients, suppliers ,vendors & customers.
  • Upkeep the ambience & decorum of the reception, meeting rooms, showroom, training rooms etc.
  • Managing Office, EPABX & telecom facility of the company.

Responsibilities:


  • Complete responsibility for the front office( reception), meeting rooms & training rooms.
  • Attending telephone calls and efficient transfer of calls to the concerns on screening.
  • Receipt of fax and delivery of fax to the concerned person.
  • Coordination with telephone service provider for registering telephone complaints and follow up for closing complaints.
  • Control of personal calls from conference rooms.

Guest Management:
To provide Coffee, Tea and Drinking Water Arrangement for guests on arrival. Managing requirements of various meetings and provide desired service with punctuality.

  • Coordination with various EA's for VIP visits/conference/meeting and availability till closure of the event.
  • Projector management on time making availability on request.

Registers to Maintain** - Courier Inward, Courier Outwards, Cheque issue to employees, Fax incoming outgoing, Employee Transport coordination, Food count & Safety Equipments of visitors.


  • Record of florist / Newspaper / Magazines/Parcels/Gifts.
  • Coordinate with Admin Executive for admin help desk & escalating complaints to Supervisors and Admin In charge within TAT.
  • Printing the booking status of conference rooms everyday and display outside conference room.
  • Monitoring of Helpdesk Portal and assigning to the facilities/electrical /maintenance team.
  • Preparing list of medicines and maintaining records with security.
  • Checking courier bills of vendor & forward to purchase/Admin MIS for making payment.
  • Forwarding every month food count & transport data to admin incharge. Maintaining of birthday gift records.
  • New Joinee formalities like ID card/Access cards/Visiting cards etc.
  • Escalating admin assets repairs to vendor & follow up. Reminders to all suppliers/vendors for timely submission of bills.
  • Awarding access to the employee /user from the BMS control system.
  • PA announcements; Welcome Boards & ensuring ATM working status.
  • Support to admin department & carry out all additional assigned jobs if any. Checking of received admin materials.
  • Any other special task /work as deemed necessary by the Admin Head.
  • Weekend visit to review admin works as necessary.

Authority:


  • To decide and allow visitor to enter production area after completion of formalities and arrangement of accompanier along with guest.
  • Instructions to security on important movements/guest visitors.
  • Decision on visitor entry at security office.
