Summary:
Responsibilities:

Courier Management:Manage both inward and outward couriers, Track the movement of couriers and ensure timely delivery, Maintain courier records and update courier tracking system.

Phone Call Management:Handle all incoming and outgoing phone calls professionally and courteously, Transfer calls to the relevant individuals or departments.
Take accurate messages and relay them to the appropriate person.

Guest Reception and Hospitality:Greet guests warmly and professionally, Provide exceptional hospitality to visitors.
Assist guests with directions and information.

Petty Cash Handling and Tally Entry:Manage petty cash accurately and responsibly, Record petty cash transactions in Tally.
Prepare petty cash reconciliations.

Vendor Coordination:Collaborate with small vendors to facilitate the issuance of cheques, Verify vendor invoices and ensure accuracy.
Maintain vendor records.

Transport and Courier Bill Verification:Review monthly transport and courier bills, Ensure the accuracy of transport and courier bills, Forward verified bills to the accounts department for payment processing.

Support to Accounts Department:Assist the accounts department with filing tasks, Maintain office records and documents.
Prepare reports as needed.

Inventory Management:Handle the inward of miscellaneous materials such as stationery and housekeeping supplies, Maintain proper stock levels of office supplies.
Coordinate with relevant departments to ensure adequate supply of office materials.

First Aid Kit Maintenance:Maintain first aid kits in all departments, Ensure first aid kits are stocked with necessary supplies.
Conduct regular inspections of first aid kits.

Preparation of gate pass/out pass, leave and permission slips for employees/ material movement other than stores:Prepare gate passes/out passes, permission slips and leave slips for employees and material movement, Verify employee authorization and material movement requests, Maintain gate pass/out pass, leave and permission slip records.
Qualifications:
- Bachelor's degree in any relevant discipline or equivalent experience.
- Minimum of 2 years of experience in a front office or administrative role.
- Strong communication and interpersonal skills.
- Excellent organizational and time management skills.
- Proficient in Microsoft Office Suite.
- Ability to work independently and as part of a team.
