Key Responsibilities:
Administrative Support:
- Manage the Vice Chairperson's calendar, schedule appointments, and coordinate meetings.
- Arrange travel itineraries, accommodations, and logistics for business trips.
- Prepare and organize documents, presentations, and reports for meetings and presentations.
Communication Management:
- Serve as the primary point of contact for internal and external stakeholders, including clients, partners, and team members.
- Maintain confidentiality and discretion in handling sensitive information and communications.
Meeting Coordination:
- Prepare agendas, take minutes, and distribute meeting materials for board meetings, executive meetings, and other gatherings.
- Coordinate logistics for meetings, including room bookings, audiovisual setup, catering arrangements, and attendee confirmations.
Documentation and Record Keeping:
- Maintain and organize electronic and physical filing systems, ensuring easy retrieval of documents and records.
- Update and maintain databases, contact lists, and organizational charts.
- Assist in the preparation and distribution of internal and external communications, newsletters, and announcements.
Educational Qualifications:
Bachelor's degree in Business Administration, Office Management, or related field preferred.
