Primary Purpose:

The Personal Assistant is responsible for providing secretarial, clerical and administrative

support in order to ensure that services are provided in an effective and efficient manner.


Primary Responsibility:


  • Maintain executives agenda and assist in planning appointments, board meetings, conferences etc.
  • Attend meetings and keep minutes
  • Works closely and effectively with the Principal to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately
  • Receive and screen phone calls and redirect them when appropriate
  • Make travel arrangements for executives
  • Handle confidential documents ensuring they remain secure
  • Handle academic and nonacademic duties and ensure accurate and timely completion of tasks
  • Prepare invoices or financial statements and provide assistance in bookkeeping
  • Monitor office supplies and negotiate terms with suppliers to ensure the most costeffective orders
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Conduct research and prepare presentations or reports as assigned
  • Preparing MIS Reports/ Presentations for meetings
  • Assisting principal in organizing the conferences and other training workshops
  • Maintain Contact information for Principal monthly phone lists
  • Sending seasons greetings to the rich contacts of the Principal
  • To do the data entry, prepare presentations, make reports whenever required

Secondary Responsibility:


  • Occasional flexibility to work in other roles as required in the project phase
  • To undertake any other reasonable tasks as directed
  • Procure and Provide electronic media supplies
  • Organizing team outings, lunches, team meetings

Work Relations:


Internal:


  • Reporting to Principal for all functional as well as administration issues.
  • Interfacing with all personnel across the organization, including those based out of CO/ZO as well as other Centers/Schools.
  • Interfacing with the leadership team.
  • Interfacing with HR, Finance, Technology, for any people or any other operational issue/s.

External:


  • Interface with external vendors for any functional issues.
  • Interface with parents for timely communication of school information and managing parents Issues.
