Job Description

  • Major Roles / Skills:

Imports:

  • Cocoordinating with planning team, plants in Europe for replenishment planning and stocks readiness status.
Co-coordinating with Freight Forwarders for Ocean Freight rates, compare and book the containers at the earliest sailings.

To manage Air Freight if needed. Taking Appropriate alignments and approvals before finalising.

Close tracking of the import shipments and to move the containers timely to bonded warehouses to avoid detentions.

Preparation of documents required for clearance such as Authority Letters, GATT Declaration, SVB Declarations, Triple Duty Bonds etc.,

RD & Duty approvals and payments thereof.


Preparing an activity-based MIS for all the import shipments to help evaluate the necessary actions to be taken to improve up on the clearance processes.

End to end Import Clearance activity until the overseas payments are cleared and until closure in IDPMS.


Deal with the issues related to Customs, FSSAI, ADC, PQ & AQ and resolving the same in co-ordination with internal legal, LRC & ITQ teams.


Punching of Purchase orders for the imports with right costs so that all costs related to imports is being inventoried directly.

Managing movement of stocks to Bonded warehouses, stickering activities and ex-bond clearances.

Understanding on the regulations which are being amended/changed time to time.

Processing of Import related invoices along with the invoices from overseas plants.

Documents storage and retrieval.


Application of AQ permit (SIP) for the Ice Cream Import shipments every quarter and co-ordination with legal team to get the permit before the expiry of the existing one.


Exports:

  • Coordinate with overseas entities (Middle East, Singapore & some other direct customers such as Philippines, Fiji Island etc.,) for orders.
Co-ordination with plants for arrangement of stocks in close co-ordination with the planner.

Follow up to get the rolling forecast for the M+3 by M-1.

Punching the orders and uploaded in the QAD system and sharing of PIs with customers.

Ensuring prices are being appropriately uploaded for invoicing purpose and approvals for process are in place.

Approving Checklists and BLs.

Co-ordination with freight forwarders for release of bookings and Vessel screening.

RR Postings as soon as we secure the BLs post actual gate-in/sailings.

Co-ordination of various documents such as COO, Health, Phyto Certificates, Legalisations etc., and sharing them with customers.

Sharing the MIS with the respective customers on the visibility of the orders and sailing schedules.

Doing the DBK provision entries in the QAD system.

Addressing and timely resolution of issues if any during dispatches and with customers.

Ensuring the customer payment received timely and if delayed, appropriate escalations to be made.

Payment entries in the system and closure of EDPMS with the banks.

Documents storage with eBRC copy and retrieval of the same.

Vendor Bills Processing and other support activities:

  • Vendor bills such as transporters, freight forwarders, various lab testing agencies to be processed and ensuring timely payments to the vendors.
Getting NDC on quarterly basis from the vendors.

Quarterly review of the customer masters, price masters etc.,

Creating the Item Codes with the help of cross functional teams.

Doing the Customer credit reviewed half yearly.

Any Graduate
