Description
Answering, screening, and directing phone calls to staff

  • Taking messages and scheduling appointments
  • Receiving mail, documents, packages, and courier deliveries
  • Performing basic filing and recordkeeping
  • Writing business correspondences
  • Organizing files

Receptionists may also be responsible for:

  • Maintaining calendars for appointments
  • Helping visitors locate the correct office
  • Keeping the reception area tidy
  • Taking inventory of office supplies and placing orders
  • Checking visitors in and directing or escorting them to specific destinations
  • Informing other employees of visitors' arrivals or cancellations
Receptionists need to be pleasant and friendly to make the visitor feel comfortable.
