General Summary of Duties:


The Operations Coordinator is responsible for the planning, execution, support, and follow-up of Operation Smile's medical and non medical programs in India.

This requires the ability to balance several projects at once. The Operations Coordinator will work with the Executive Director, India as well OSI Regional team towards achieving these goals.

Medical Mission/ Fact Finds/ Strategic plan for program:

  • Be responsible for managing the Operation Smile India Nutrition program on a day to day basis. Work closely with program team and Program officer.
  • Be responsible for all education programs. Work closely with program officer for this.
  • Be responsible for all comprehensive care programs run by Operation Smile India.
  • Be responsible for all monthly and quarterly care center reports. Will work closely with center heads to collect and review reports before sending these to OSI.
  • Be responsible for all donor reports for Operation Smile India as well as work with OSI development team for donor reporting needs for international donors.
  • Work with Executive Director and Program Officer to develop systems for better oversight of care centers.
  • Oversee implementation of new patient medical record system. Work closely for program team and program officers for this.
  • Work with biomed and logistics team to ensure that call care centers have proper inventory fo medical and non medical cargo and also oversee biomedical equipment maintenance schedule.
  • Work with Executive Director to prepare donor reports and proposals for Indian donors.
  • Work closely with Medical Advisory Council and Program team to ensure that Operation Smile Global Medical Standards are being followed.
  • Keep track of hospital assessment and fact find documents. Inform program team with an updated assessment, fact find is necessary.
  • Fact Finds and assessment trips to set up and prepare for programs in new sites/countries for missions.
  • Process Purchase orders for all vendors and ensure final payments are made after cross verification of all bills and invoices.
  • Facilitate student program activities.
  • Support other program coordinators in planning and running their missions, this includes but is not limited to help with volunteer recruitment, creat ion of patient recruitment plans and being present on site for support.
  • Willing to travel upto 50% of the time.

Experienc e Required (education/work):

  • Bachelor's degree in any discipline (Nonprofit Management, Social Work, Development Studies, International Development, Public Health, International Relations preferred)
  • Two plus years of not for profit program / project experience;
  • Comfortable with extensive tr avels over long periods of time
  • Medical field exposure would be helpful.
  • Freshers with Internship experience are welcome to apply

Skills Required:

  • Excellent oral and written Hindi and English communication skills required. Knowledge of additional Indian Languages a bonus
  • Excellent leadership, management, and interpersonal/social skills required
  • Must have multicultural understanding and sensitivity and be able to communicate effectively in such an environment
  • Must have excellent organizational and time management skills and be able to prioritize requests efficiently and effectively
  • Must be able to problem solve and communicate needs appropriately in high pressure situations.
  • Must be able to work as part of a team as well as independently
  • Must be a highly motivated, driven and committed individual with selfawareness and flexibilit y
