SUMMARY:


The Executive Assistant will provide high-level administrative support to the Chief Executive Officer (CEO) in all aspects of the company operations and functions.

This individual must have strong organizational skills as well as actual direct experience in multitasking in an office setting.


DUTIES & RESPONSIBILITIES:


  • Assist the Chief Executive Officer (CEO) with company operations and executive support functions.
  • Represent the CEO by being the point of contact among executives, employees, clients, and other external partners.
  • Manage the CEO's appointments and calendar.
  • Perform clerical and daily administrative tasks including drafting letters, memos, invoices, reports, and other documents requested by the CEO.
  • Coordinate with all levels of management as needed to complete projects assigned by the CEO.
  • Coordinate and make travel arrangements for the CEO.
  • Schedules and attends meetings on behalf of the CEO, takes notes and records minutes.
  • Receives incoming communication or memos on behalf of the CEO, reviews contents, determines importance and summarizes and/or distributes contents to appropriate staff.
  • Finalize tasks and correspondence as requested by the CEO.
  • Performs office tasks including maintaining records and performing basic bookkeeping.
  • Performs additional duties as assigned by the CEO. Successfully perform all tasks in the 30/60/90/365 plan.

  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Experience in maintaining and updating contact management systems/databases.
  • Proficiency with internet research and preparing reports.
  • Strong interpersonal skills and ability to establish a positive rapport with internal and external associates.
  • Demonstrated ability to focus on details of daytoday issues independently.
  • Ability to assume responsibility with minimum direct supervision.
  • Highly motivated, organized and works well with critical deadlines.
  • Maintain accurate and uptodate virtual files.
  • Maintain a virtual research library.
  • Research projects: current news, issues relevant to projects, extract data from various sites
  • Positive attitude and excellent teamwork skills
  • Ability to meet new challenges with an open mind and an optimistic response.
  • Ability to take initiative by anticipating customer needs.
  • Commitment to delivering quality service that meets or exceeds expectations.

EDUCATION AND EXPERIENCE:


  • A college degree in Business Administration is highly desirable.
  • Five plus years' executive assistant experience desired. Minimum one year experience as a virtual assistant.
  • Advanced knowledge of MS Office including Microsoft Word, Excel, Outlook, and PowerPoint
  • Ability to multitask.
  • Excellent interpersonal and communication skills with personnel at all levels are a must.
  • Positive attitude and excellent teamwork skills

  • Incorporate the use of MS Power BI, Clean Telligent and other software throughout the company to help increase efficiency and maintain records for tracking.
  • Help collect, clean, analyze, and visualize data to create dashboards and maintain these reports that can be used to help INC make better business decisions.

  • Demonstrated ability to handle multiple projects and details simultaneously.
  • Requires selfdirection, tact, diplomacy and a clear, courteous and professional manner when dealing with the public.
  • Must demonstrate a clear knowledge of laws, regulations, and guidelines within industry to ensure compliance with regulatory agencies and organizations.
  • Ability to develop and implement strategic plans to increase efficiency and effectiveness within the assigned facilities.
