Who You'll Work With:
- You'll work in Gurugram, as a part of the India Knowledge Center team.
- You will be part of our administration team in McKinsey Global Capabilities & Services (McKC), responsible for providing administrative support 24/7. The administration department manages the office facility which includes office housekeeping, electromechanical services, security and safety of the premise, and pantry/cafeteria management. The department is also responsible for providing services related to corporate travel which includes managing hotel booking and international/domestic travel, office transport, officerelated procurement, events & conferences, etc.
- You should have exposure to general administration functions. You will be required to interact with a large pool of vendors and should be adept at performing duties falling under facility management and general office operations. You should have a high service orientation towards office members.
- You should be a strong team player, have a high motivation for the administration role, have good learning ability, and be able to communicate fluently in English both in verbal and written form.
What You'll Do:
You will be responsible for managing the transport requirements for colleagues and administering transport services with the help of a GPS-based tracking and management system.
- In this role your focus will be to provide handson support to the team on transport related tasks and with a strong focus on compliance, efficiency and safety and will have the following responsibilities:
- Providing pick-up and drop-off services for more than 800 employees
- Guiding team members and being selfsufficient in scheduling pickups and drops according to shift times to ensure no escalation
- Managing the backtoback pickups and ensure ontime arrivals of cabs
- Managing adhoc pickups and dropoffs of members and clients
- Interacting with members and solving their problems in the dropping area
- Ensuring all mobile tabs devices are in working condition
- Ensuring 100% compliance of cab and drivers
- Giving special consideration to female security and tracking cabs with female employees
- Handling queries related to MoveInSync Transport management software and providing solutions
- Generating various MIS reports on a daily and weekly basis
- Working in close coordination and cooperation with other administration departments
- Processing order and maintaining MIS for orders and expenses with attention to detail, processing procurement documentation, inviting quotation, making comparison, making PO and maintaining records for all explicit of administration
- Record keeping for all kinds of administration agreements, contracts and AMCs
- Maintaining vendor database, clearing of bills, timely payment
- Creating and maintaining monthly expense report etc.
Qualifications:
- Graduate preferably with specialization in hotel management
- 1+ years of experience in core administration in corporate environment, strong organizational and administrative skills
- Proficient in MS Office software (e.g. Excel, Word, PowerPoint)
- Proven track record on coordinating housekeeping and cafeteria activities in corporate office
- Ability to work independently and manage multiple priorities/processes at the same time, and prioritize effectively
- Performs well under pressure and meets deadlines effectively
- Resourceful and proven effectiveness working with vendors and suppliers
- Strong customer service orientation and outstanding customer service skills with ability to interact effectively at all levels
- Responsiveness to multiple (often ad hoc) requests and strong sense of urgency
- Possesses high energy, a "cando" attitude, a willingness to take initiative, and a proactive approach to practice and team support
- Flexibility to work longer hours during peak work periods
