As
administration executive you will be responsible for managing the end-to-end administration activities for Lucy Electric India (LEI), Nashik. This will include Travel Desk management and supporting the HR department in executing employee engagement activities at plant level.

You will work closely with the business line managers to provide specialist support and will report directly to HR Business Partner in India.

You will be part of HR and Admin team and will support the HRBP in fulfilling the Travel Desk and Administration requirements at LEI.


Key Accountabilities

These will include:

  • Manage all the Travel requests from local employees as well as Global employees travelling to India in alignment with Business Travel Policy
  • Coordinate with Travel agencies for Visa and Travel and hotel booking arrangements.
  • Ensure office upkeep and maintenance.
  • Collate site Stationary requirement and raise PR in coordination with Purchasing department.
  • Manage company car and ensure usage records are maintained in assigned registers.
  • Manage the courier services at Site.
  • Support the HR team in Canteen management and ensuring hygienic food and is available for employees and guests.
  • Manage end to end employee Insurances facility, ensure timely renewal, communication, and solution to all employee grievances related to Insurances.
  • Manage monthly mobile/telephone bill settlement and highlight in case any deviations against budget.
  • Support HR team in budgeting with regards to Admin expenses during the year
  • Prepare monthly MIS report for HR Manager highlighting any variances.
  • Support HR Manager in arranging employee engagement activities.
  • Ensure agreements with all existing vendors are in place and its renewal happens in timely manner.
  • Always ensure compliance with company policies/rules and regulations.
  • Support HR Manager in any administration support required for employee support/activities.

Qualifications, Experience & Skills
Minimum Qualifications, Knowledge and Experience
-
8+ years of experience in providing Administration support** at Plant level/office level.

  • Minimum
    5+ years of managing Travel Desk and visa formalities.
  • Experience in
    managing canteen at Plant level.
  • Proficient with the use of MS, Office Application, Internet and Emails
  • Broad administration experience within a commercial environment
  • Ability to identify improvements in a process for a customer and turning the improvements toward.
