**- Reporting daily to the Partner about daily work activites and task
- Maintaining absolute confidentiality & privacy of company data and documents
- Filing of physical documents properly in organized folders and Folder Management at office
- Coordinating with the Partner about Vendor Meetings and management
- Requesting for quotes from vendors for constructions and office equipments
- Coordinating with site engineers for issue of drawings hard copies
- Drafting Legal documents in Coordinatioon with Company's Lawyer
- Getting documents printed on stamp paper and coordinating with Registration office personnel
- Organizing of documents on Company's Cloud (Google Drive) and maintaing access control
- New appointments and hiring management
- Issue POs to vendors
- Review and edit of work order drafts
- Coordinating with Accounts team for salary cheque distribution and vendor payments and reminding clients for payments that is owed
- Lots of follow up with Clients and Vendors
- Coordinating for vendor negotiations on orders and coordinating with Procurements & Purchase Team
- Order supplies and stationary items required in the office, maintain stock of coffee, tea, dispensable and consumer items at office
- Manage servicing and repairing of office equipments such as Computers, ACs, Fridge, Coffee Machine, Printer, Phones Etc.
- Answering phones and welcoming guests at office
- Company holiday reminder and maintaing staff taking leaves/vacations
- Maintain record of daily reports from respective leads
- Ask for daily reports and records from respective leads with regards to Pending Material Order, Equipments & Machinery at Site, Shuttering & Scaffolding Items Inventory, Labour Reports
- Maintain proper records of work orders, invoices and prepare for IT inquiries etc.
- Organize Weekly/Biweekly/Monthly meetings of Engineers, Safety Personnel and other staff
- The said person would be directly reporting to a young business owner (Oxford Graduate). He/She should have the following skillsets.
