What this job involves:

Prioritising the facilities' needs

Working with both the FM Lead and the assistant facilities manager, you'll oversee the property's day-to-day operations and ensure that all administrative functions, security issues and facility services are covered.

Likewise, you'll strive for continuous improvement in the process.


You'll also keep an eye out on the property's supplies and ensure that it has adequate stocks and materials to keep the operations smooth like a well-oiled machine.

Likewise, you'll manage supply and service contracts as approved by clients.


In addition, you'll help mitigate risks by taking part in emergency evacuation procedures, and handling crisis management and business continuity plans.

You'll also be on top of health and safety issues that may arise, and actively participate in reviewing them.


You'll ensure proper supervision of various functional areas and will be responsible for Service Delivery, Client Relationship, Smooth integration between Staff and Soft Services, maintain all type of tracker, meeting arrangement, ordering of consumable, staff briefing, taking care of on demand services of client - soft services, cafeteria, security, coordinate R&M works, inventory/stock management, Event management, by proper tracking of all activities / walkthrough and further Identify operational / HSE Risks, prepare action plan and track closure by sharing regular updates with manager / client team.


You'll manage all related requirements for the location to the end user satisfaction levels and maintain JLL standards on deliverables...

You'll provide all administrative support to the Facilities Management team as per the site requirement

You'll ensure timely and accurate completion of FM reports pertaining to soft services
Workplace Strategy, Transport, Cafeteria, Corrigo etc

Develop and deliver innovative strategies to enhance users' experience and productivity in the workplace.

You'll work closely with service partners / adhoc vendors for effective management of all

deliverables and monitor performance on site with timely highlighting challenges to Site Lead, R&M works, prepare BOQ/SOW and get proposals from vendor partner for budgeting purpose.

Also part of your mandate is to monitor the property's budget.

As the person in charge, you'll make sure that there's enough petty cash to support operations. You'll also see to it that vendor invoice processes comply with
standards.

Going above and beyond expectations
Client satisfaction is second nature to the person in charge. In this role, you'll take on difficult issues and seek out opportunities to improve operations. You'll also be constantly in tune with the team to achieve key performance metrics and meet service level agreements.
In addition, you'll carry out routine service audits to ensure that the team maintains its overall performance. You'll also be in charge of creating stock reports, meeting minutes and monthly management reports to the clients.

Strong knowledge of property operations

Your Soft services prowess will be your toolkit for success. Managing cafeteria, Housekeeping, plumbing, carpentry and R&M activities should be second nature to you. You'll also be in-charge of preparing the list of Consumables, spares and daily report for all sites. You'll also make sure that our logbooks, checklists and schedules are upkeep and current. From time to time, you're expected to arrange ad-hoc maintenance set ups based on the client requirements.
