Position Overview:


Key Responsibilities:

1.


Administrative Support:


  • Manage the board member's calendar, schedule appointments, and coordinate meetings, ensuring efficient use of time.
  • Arrange travel itineraries, accommodation, and transportation for domestic and international trips.
  • Prepare and organize documents, reports, presentations, and correspondence for meetings and events.

Communication Management:


  • Serve as the primary point of contact for internal and external inquiries, screening and prioritizing correspondence as necessary.
  • Facilitate communication between the board member and key stakeholders, including executives, clients, investors, and board members.
3.


Board Support:


  • Assist in the preparation of materials for board meetings, including agendas, presentations, and briefing documents.
  • Attend board meetings, record minutes, and follow up on action items to ensure timely completion.
  • Maintain confidential records, files, and documents related to board activities and decisions.
4.


Project Coordination:


  • Support the board member in managing various projects and initiatives, tracking progress, and ensuring deadlines are met.
  • Collaborate with other team members and departments to gather information, coordinate activities, and resolve issues as needed.
5.


Language Skills:


  • Utilize fluent English language skills to communicate effectively with internal and external stakeholders.
  • Demonstrate basic proficiency in German to assist with communication and correspondence as required.

Qualifications:


  • Bachelor's degree in Business Administration, Management, or a related field preferred.
  • Minimum of 5 years of experience as an Executive Assistant or Personal Assistant, preferably supporting Csuite executives or board members.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and multitask effectively in a fastpaced environment.
  • Strong written and verbal communication skills, with the ability to interact professionally with individuals at all levels.
  • Discretion and confidentiality in handling sensitive information and maintaining privacy.
  • Proactive and resourceful with a problemsolving attitude and a high level of attention to detail.
  • Ability to work independently with mínimal supervision while also functioning as part of a collaborative team.
