Job Summary:

A Front Office Executive is responsible for managing the reception area of an organization and ensuring that visitors and clients receive a positive first impression.

They handle various administrative tasks, maintain office security, and assist with general office operations.


Key Responsibilities:


Greeting and Welcoming Visitors:
Welcome and greet visitors, clients, and employees in a friendly and professional manner. Provide information or direct them to the appropriate person or department.


Answering Phone Calls:
Handle incoming phone calls, take messages, and transfer calls to the appropriate individuals. Provide information and assistance to callers as needed.


Managing the Front Desk:
Maintain a clean and organized front desk area. Ensure that the reception area is well-presented and conducive to a positive atmosphere.


Scheduling and Appointments:
Schedule appointments, meetings, and conference room bookings. Keep track of appointments and notify staff members of scheduled meetings.


Mail and Courier Handling:
Receive and distribute mail and packages. Prepare outgoing mail and courier shipments.


Administrative Support:
Provide administrative support to various departments, including photocopying, faxing, filing, and data entry.


Visitor Access Control:
Ensure that only authorized individuals have access to the office premises. Issue visitor badges and maintain visitor logs.


Assisting with Travel Arrangements:
Assist employees with travel bookings, including flights, accommodations, and transportation as needed.


Maintaining Records:
Keep records of visitor information, contact details, and appointments. Maintain an updated directory of staff members.


Office Supplies:
Monitor and order office supplies and equipment as needed. Ensure stock levels are adequate.


Security Awareness:
Be vigilant about security and report any suspicious activities or security concerns to the appropriate personnel.


Customer Service:
Provide excellent customer service by addressing inquiries and resolving complaints promptly and professionally.


Qualifications and Skills:


  • High school diploma or equivalent; additional education or certification is a plus.
  • Prior experience in a similar role is often preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in using office software and equipment (e.g., Microsoft Office, telephone systems).
  • Professional appearance and demeanor.
  • Problemsolving skills and the ability to handle difficult situations gracefully.

Pay:
₹15,000.00 per month
