Job Summary
Front Office Management
- Welcome visitors/guests visiting RO Offices and facilitate excellent services to them in a friendly and professional way.
- Guide the visitors to the respective department after confirmation of their appointment with the department.
- Issue access cards to the visitors for entry to the respective departments, ensure that they leave after meeting their purpose after the submission of access card at the Front Office.
- Update and maintain visitor data in the Visitor Management Software and Visitor's log.
- Telephone operations attend calls, make calls, transfer calls, pass messages to the respective person in a professional manner.
- Maintain log book of calls, telephone bills, courier, vehicle and movement registers.
- Provide Wi-Fi password to the guests and inmates upon the instructions from the Management.
- Coordinate seating arrangements in the reception/waiting room in case of interviews, by cross checking the occupancy at HR reception.
- Pre plan and execute VIP guest management and notify checkin to alert hosts and other relevant personnel of the visitor's arrival.
- Make sure the VIP lounge in the Reception is cleaned and maintained and ensure the guests aren't waiting for long.
- VIPs visit without notice has to be informed with the respective authority and should be handled quickly with courtesy by arranging a lounge.
- VIPs/Visitors need to be accompanied to the respective department for providing direction as per the instruction.
- Handle inbound and outbound calls in a friendly and cordial manner.
- Address the inbound calls and transfer to the right person in RO Offices.
- Make outbound calls to connect internal or external people as per the requests received from senior management in RO Offices.
- Update and maintain the telephone directory.
- Ensure that all activities are carried out as per the Standard Operating Procedures in the section.
- Prepare regular and adhoc reports as & when required within specified time period.
- Continuously strive for selfdevelopment by actively seeking opportunities for growth.
- Ensure adherence to timelines for completion of performance appraisal for self.
- Take overall responsibility for identification of training needs and completion of mandatory training programs/certifications for self.
