Executive Assistant - Goa, India - Simeio Solutions
Description
The Opportunity:
Simeio, a global leader in identity management & cybersecurity, has an opportunity for an Executive Assistant to provide high-level administrative support primarily to a few C-Level executives in the Alpharetta office.
The Executive Assistant will act as a primary point of contact between the executives and internal/external stakeholders, ensuring effective communication and workflow.
Key Responsibilities:

Calendar Management: Schedule and manage appointments, meetings, and events. Coordinate with other team members to ensure alignment of schedules and follow up on action items as needed.

Travel Arrangements: Plan and coordinate travel arrangements, including flights, accommodations, and itineraries. Ensure that all travel plans align with the executive's schedule and preferences.

Document Management: Organize and maintain documents, files, and records. Ensure easy access to important information and data.

Expense Management: Manage and reconcile expense reports, invoices, and reimbursements. Maintain accurate records of expenses.

Stakeholder Liaison: Act as a liaison between the executive and internal/external stakeholders, such as members of the Private Equity group, partners, and team members. Handle inquiries and requests professionally and timely.

Confidentiality: Maintain the utmost discretion and privacy when dealing with sensitive information and matters.

Prioritization: Serve as gatekeeper. Prioritize tasks and manage the executive's time effectively. Identify and address urgent matters promptly.

Cost Control: Negotiate and secure best pricing, providing multiple options and scenarios.

Point of Contact: Welcome and greet visitors and customers and direct inquiries as appropriate.

Meeting Prep & Scheduling: Create visitor's agenda by coordinating with visitors and internal stakeholders. Arrange for meals, transportation, etc., as needed.

Facilities: Order and stock breakroom and other areas with supplies. Coordinate with building management on maintenance requests and partner with vendors as needed.

Office Administration: Issue and track employee and guest badges and prepare work areas for new employees.

Weekly Employee Connect: Prepare PowerPoint slides for weekly employee connect. Arrange for all material in advance to meet the deadline.

Continuous Improvement: Suggest and implement process improvements to enhance the executive's productivity and efficiency.

Other:Other duties as assigned.
Qualifications and Experience:
- College or Vocational School Graduate; bachelor's degree a plus
- Proven experience as an executive assistant or in a similar administrative role supporting Clevel executives.
- Experience planning domestic and international travel.
- Proficiency with MS Office suite
- Work with a sense of urgency.
- Strong sense of responsibility and capacity to complete tasks quickly and accurately with mínimal supervision.

- Excellent written and verbal communication skills.
- Exceptional organizational and time management abilities.
- Strong attention to detail and problemsolving skills.
- Ability to handle multiple tasks simultaneously and work well under pressure.

Travel:
Local travel as required to perform job duties.
