Sales Administrator


Major Responsibilities:
(Detailed Responsibilities)

  • Plans and implements projects that support the sales organization. Assists sales organization in providing technical and administrative product information.
  • Coordinate, followup and communicate with customers prepare and follow up on any sales quotations through Sales force (SFDC) made for clients.
  • Works with market research team to ensure market analysis data is used for quoting customer prices.
  • Collect Sales Data, analyze data, present it to Sales Director and regional Managers.
  • Following up the orders for equipment's as well as accessories, Software.
  • Documentary support to customers to facilitate clearance of Equipment &
  • Logistic support and coordination, Import, Custom etc.
  • Global Co ordination for Sales.
  • Coordinates with Sales Representatives to provide sales documentation and satisfy customer requirements.
  • Work closely with the Sales team to assess the progress of the department and develop Sales strategy accordingly.

Primary Function:

  • Review all orders which are placed for EMEA India region to ensure that they are 100% complete/compliant and ready to be converted to firm orders by Order Processing team.
  • Prepare complete documentation of each project and place at disposal of Sales Management, Revenue Recognition Controllers and Service Department
  • Play an instrumental role in month/quarter end close activities by ensuring that all orders have been reviewed within indicated timeframe.
  • Liaise closely with Sales Management, Order Processing, Technical Sales, Legal, Ethical Compliance Departments and Revenue Recognition Controllers
  • Coordinate with Customers by letters and Phone for sharing PI for opening Letter of Credit to ensure revenue targets are met for Sales team.
  • Bank guarantees administration and follow up


  • Forecast Funnel

  • Maintaining the forecast funnel on weekly and monthly basis, ensuring that it is correct & updated by sales team.
  • LBR keeping track of loss business on monthly basis and ensuring all correct data is reported in system to be shared with management.
  • Coordinate with Customers by letters and Phone and follow up for AR.
  • Follow up and coordination required with customers for demo and factory visit including
  • Preparation of Tenders technical & commercial bids. Ensuring documentation and Bank Guarantee s per tender requirement.
  • Maintain files on significant statistical data, ensuring Sales Department documentation is updated for audits
  • Collect needed information and contractual documentation from Sales Team and Sales Management
  • Prepare and forward complete paperwork to Technical Sales Department for final configuration
  • Work with different levels of Management to obtain special payment terms approvals on various projects
  • Participates actively in SAP and other internal projects.
  • Dispatch coordination of orders with the factory in USA & Europe to ensure timelines are met.
  • Ensure the adequacy of salesrelated equipment or material.
  • Respond to complaints from customers and give aftersales support when requested.
  • Store and sort financial and nonfinancial data in electronic form and present reports.
  • Ensure adherence to laws and policies.
  • Performs other duties as assigned

Typical Education and Experience:
Associates Degree or equivalent - 5 years of related experience
