Overview:

The Event Administrator plays a crucial role in the planning, coordination, and execution of high-profile NGO events.

They are responsible for ensuring smooth operations before, during, and after the event, providing administrative support to all involved parties.


Responsibilities:


Pre-Event Planning:


  • Collaborate with event organizers to understand event objectives, target audience, and logistics requirements.
  • Assist in the development of event timelines, budgets, and task lists.
  • Coordinate with vendors, sponsors, and partners to secure necessary resources and services.
  • Manage guest lists, RSVPs, and communications with attendees.
  • Arrange transportation, accommodations, and hospitality for VIP guests and speakers.

Logistics Management:


  • Oversee venue selection, setup, and layout to ensure optimal use of space.
  • Coordinate audiovisual, lighting, and technical requirements.
  • Arrange catering services and menu selections, considering dietary restrictions and preferences.
  • Procure necessary permits, licenses, and insurance for the event.
  • Organize signage, branding materials, and promotional items.

On-Site Coordination:


  • Supervise event staff, volunteers, and security personnel.
  • Manage registration/checkin processes and distribute event materials.
  • Address any issues or emergencies that arise during the event.
  • Ensure compliance with safety regulations and accessibility standards.
  • Facilitate communication between different teams and stakeholders.

Post-Event Evaluation:


  • Collect feedback from attendees, sponsors, and partners.
  • Evaluate event success based on predefined metrics and objectives.
  • Prepare postevent reports, including financial summaries and lessons learned.
  • Assist in postevent followup, such as thankyou notes and participant surveys.
  • Conduct a debriefing session with the organizing team to identify areas for improvement.

Qualifications:


  • Bachelor's degree in event management, hospitality, business administration, or related field.
  • Proven experience in organizing largescale events, preferably within the NGO sector.
  • Excellent organizational and multitasking abilities, with strong attention to detail.
  • Effective communication and interpersonal skills, capable of liaising with diverse stakeholders.
  • Proficiency in event planning software, project management tools, and Microsoft Office Suite.
  • Ability to remain calm under pressure and resolve issues in a fastpaced environment.
  • Flexibility to work irregular hours, including evenings and weekends, as required by event schedules.
  • Knowledge of sustainability practices and commitment to promoting social responsibility in event management.

Salary:
₹1,000, ₹1,200,000.00 per year
