Expatriate administration (housing/ schooling / FRRO registration

Adhere to security policies & procedures ensure that reportee comply with the
security policy and procedure and also provide recommendations to enhance
security controls, ascertain adequate security at company premises and oversee
security affairs and fire safety round-the-clock
Ensure adherence to company norms specifications
Negotiate with vendors to avail the best deals in terms of price and quality
Ensuring timely AMC's and Insurance, are done for all the electrical and Engineering
Equipments
Address issues related to electrical & engineering equipments, mechanical systems,
environment as well as energy
Ensure due diligence and legal statutory compliance activities are accomplished for
real estate projects
Responsible for facility and equipment maintenance ensure zero down time
Oversee implementation of the Business Continuity Plan through effective upkeep of
existing infrastructure facilities & efficient maintenance of engineering services
Ascertain that SLAs of all Admin functions are agreed, documented and adhered too
Monitor efficiency of cafeteria services
Oversee car hire & transportation activities and ensure that vehicles reach and leave
on time from designated points as per company norms
Liaise with developers, architects, vendors, hotels, car rental agencies, Local ward
officers, Police, Government bodies & officials, Municipality
Service providers such as MTNL, Vodafone, TATA VSNL etc., Custom Department
Oversee stores procurement and effective stock management Supervise allotment
of company accommodation/Hotel for outstation employees
Oversee housekeeping functions & ensure cleanliness and Keep Vigilance on the
work of Housekeeping staff
Ensure compliance regulations like municipal, power, fire, safety, shops and
establishment, etc.
Handling overall responsibility of Facility Management with effect to cost saving for
the company.
Languages
Ascertain that SLAs of all Admin functions are agreed, documented and adhered too
Taking care of Renewals and Termination of contracts entered for Property, Guest
Houses, Vehicle, Security, Housekeeping and other assets, on all India basis
Lisioning with different service providers
Maintenance and up keep office premises. (Desk, chair, pantry, restrooms, flooring
etc.)
Ensure proper usage of electricity & there should not any wastage of electricity.
(Last months bill, reduction of bill amount)
Maintenance of movable assets e.g. furniture, Car, Mobile, Laptop, cameras, AC
etc. (Inventory list, allotment & usage check) on all India basis.
Maintain monthly consumption track record of requirement like tissue roll, soap,
acid, tea, coffee, milk powder etc. Maintenance of guesthouse of company on all
India bases.
Preparing MIS on Expenditure for travel. Monitoring & renewal of agreements for all
the branches in pan India.
Ensuring that the rents for the branches across pan India have been dispatched on
time.
House, Car, Car Lease, Car Hire, on all India bases.
Maintaining record of all the Assets issue, transfer, terminated etc, on all India basis
Handling the travel desk and hotel bookings of the company
Handle all Major escalations and ensure speedy resolution.
Establish and maintain communications with different channels of management and
keep a follow-up to close the prevailing issue.
Keeping the track on the usage of stationery and printing.
Administrative Support to the offices spread across entire south Asia region.
Allotting Duties to the drivers and to ensure, service of pickup and drop for the
employees of the organization is done properly and to keep a close watch on the
operating of the travel service provider for the company
Ensuring high service levels are maintained by various service providers.
Manpower Planning & Recruitment Talent Acquisition, Hiring Responsible for the
complete Recruitment cycle, Staffing & on boarding, Performance Management,
Formulation of Employee Budget
Employee Engagement Activities, Personnel Administration and Welfare, General
administration, etc. on all India bases.
Handling entire setup to make a new branch which includes from procurement of the
land/premises, licensing, getting approval and licenses from various Govt authority
for e.g., Municipal Corporation, Food and Drug Administration etc. till the entire
branch is active for working.
