Staff Accommodation

· Maintaining records of properties used by the company, including room inventory and contract renewal of staff accommodations, hotels, and villas

· Arranging accommodation for new joiners and making changes in staff allocation when needed

· Preparing and handing over welcome kits for new joiners

· Conducting orientation for new joiners in accommodations

· Creating necessary policy, procedures, and forms

· Responding to staff queries and resolving issues, if any, on daily basis

· Scanning property market and finding properties needed for the company as per given specifications and budget

· Releasing regular communications to update staff about changes in rules and policies

 

OVERALL WORK EXPERIENCE & ACCOUNTABILITIES

Feb 2011 – April 2023    LIVE-IN Housing and Facility Officer        (American University of Dubai) 

· Total supervision for room allocation to the resident, civil contractors’ work at site according to layout plan, AMC renewals for all the vendors such as pest control, elevator Co, cleaning, garden and landscaping works.   

· Conduct regular inspections of the resident housing facility and student units; identify problem areas and enlist means to correct. Report, track and follow up on maintenance issues with appropriate technical facility team and vendors, maintenance and cleaning staff. Work the round the clock 24/7 with the resident.

· Coordinate with outside vendors to ensure all repairs and maintenance issues are completed in a timely manner, draft Notices to notify all resident for pest control, fire mock drill 

· Keep Premises Clean, Hygienic and Spacious while maintaining their records, attendances. 

· Coordinate resident student’s check-in, check-out, and room changes, including assessing damage charges and processing paperwork in a timely manner. 

· Respond to emergency and crisis situations, and make appropriate referrals as needed. 

· Provide coverage of resident housing facility during off-hours and weekends. 

· Serve as primary contact officer for residents conduct issues in housing. Administer and implement housing policies and procedures. Ensure that appropriate sanctions are carried out in a timely manner. Maintain accurate resident conduct records. 

· Supervise, train and evaluate Resident staff. Develop and advise student hall council. Provide direction and coordination for all Housing community development activities.

· Work under Student Affairs department and ensure students adhere by the hostels rules and regulations laid down by the Student Affairs Committee. 

· Possession of Housing Units, handing-over of residentials flats to the tenants and record the assets for any damages before possession. 

· Inspect the flats for any leakages, seepages and ensure there is no water leak from the ducts and overhead tanks, verify the Air-Conditioner are working according to their temperature settings,

- As an Asst. Manager–Resident, on site coordination between the General Manager-Engg, Projects Dept, Marketing & Property Management Company outsourced by the mgmt.

- Coordinate and manage service provider & ensure maintenance is undertaken as per the standard with contract and frequencies.

- Maintaining good relation with flat owners, tenant and assisting them wherever required 

- Inspects maintenance / work for proper completion and follow up of remedial works snagging and outstanding items on preparation for handover. 

- Undertakes plan review for capital improvement projects and interacts with contractors & consultants. - Inspect works in progress and upon completion that projects are completed in compliance with codes, specifications standards, work orders and time schedules. 

- Recording the asset in the property and carry out periodic inspection of the property as per the standard before takeover and maintain them till society formation.

May’06 – March’ 08 Facility Incharge Ebrahim K Kanoo B.S.C Bahrain - One of the Premier Multi Storey Property comprising of Luxury Apartments, Villas, Business Centre and Club House.

 

  Handling the entire gamut of Property and Management operations including administration of: - Club House including Squash Court, Gym, Steam Sauna, Billiards, Children’s Aqua Park, Swimming Pool, and Massage Centre. - The Premises for any defects and implementing EHS for Safety and Security of tenants and property which includes CCTV, Access Control System, Door Intercom and Fire Fighting System. 

Supervising service contract personnel activities and contractor activities pertaining to tenant’s availability and convenience; 

Receiving, maintaining, archiving & bifurcating all AS-BUILT drawings, documents & license related to project. 

Handling marketing & sales of the flats & commercial premises to the clients. 

Taking over the property (Villas, Flats & Commercial Establishment) from the Engineering (Project Dept.) after completion with respect to all the standards such as Civil, Electromechanical, Safety & Security terms.

Assist in handling complete Facilities & Infrastructure set up of company staff accommodation with transportation facilities for the labors

Ensure that company employment, hiring, promotion, compensation, performance appraisals, and termination & disciplinary policies and procedures are executed in a fair and equitable manner and in compliance with labor law

Interfacing with the following: Govt. Authorities in terms of outgoings such as Property Tax, Water Tax Municipal Assessment and further correspondence with the Dept. Customers with respect to sales of apartments in absence of the Marketing Executive. 

Following up with AMC Contractors for the rectification work and handling the residence grievances in the complex. 

Getting the Quotation for various civil related work and variations approved from the corporate office and conducting inspection for the work carried out by the contractors.
