We are looking for a front desk executive to manage our front desk on a daily basis and to perform a variety of administrative works.
Duties include providing support to our clients and employees, assisting in daily office needs and managing our company's general administrative activities.
As a front desk executive, you will be the first point of contact for our company. Your duties include offering administrative support across the organisation. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
To be successful as a front desk executive, you should have a pleasant personality, as this is also a customer service role.
You should have excellent oral and written communication skills and be able to organise your work using tools like MS Office and office equipment.
You should ensure the efficient and smooth day-to-day operation of our office.Responsibilities
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Receive, sort and distribute daily mail/deliveries
- Order front office supplies and keep inventory of stock
- Update calendars and schedule appointments
- Keep updated records of office expenses and costs
- Schedule meetings
Requirements:
- Proven work experience as a front desk executive, administrative assistant, front office representative or similar role
- Proficiency in the Microsoft Excel, Microsoft Word etc
- Handson experience with office equipment
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organisational skills
- Multitasking and timemanagement skills, with the ability to prioritise tasks
- Customer service attitude
Experience:
- work: 2 years (preferred)
- receptionist: 1-2 years (preferred)
Language:
- English (required)
- Hindi (required)
Duties:
- Taking notes/dictation
- Maintain files and records
- Scheduling appointments
Administrative Duties:
- Scheduling
- Stocking supplies
- Sorting and sending mail
- Answering and routing phone calls
- Managing social media
- Greeting visitors
