Roles and Responsibilities
Executive Assistant to Head
- HR
- Handle independently the office of the Head
- HR
- Control and maintain an effective calendar system, Coordinate appointments / meetings as required
- Answer and Screen Telephone calls and provide information to callers
- Open and prioritize confidential postal mail. Selfcorrespondence on routine matters, within the authority delegated
- Track and followup action items on the Head
- HR
- Organize and maintain paper, electronic files and confidential files
- Serve as a liaison between the Head
- HR
- Travel, Stay Arrangements (both Domestic and International) through the Portal + Travel desk
- Reimbursement of Expenses post travel through Portal
- Assist in preparing presentations, Summary reports, announcements, office orders and any other documentation for the HR Head
- Liaison with HR delegates from France visiting India, Organise their Visa invites and Travel Programme within India. Coordinate with the Admin team for hotel stays, local transfers, logistics and other related activities.
HR Admin Support
- Support in periodic HR calls, HR Meets, HR Conferences, HR workshops
- Work collaboratively with other team members to ideate, develop and drive initiatives for Employee Engagement. Support in Employee Engagement activities, events, campaigns, festivals during the year
- Support the SG India Induction programme (with CEO) when held in Mumbai face to face
- Support the L&D team if any trainings are being conducted face to face.
- Keep a stock of HR Collaterals, Birthday cards for plant locations, new joinee kits, laptop bags and coordinating to place fresh orders
- Support HR Ops Team in Background Verification
- Coordination between the Ongrid Team and HRCs to complete insufficiencies and closing loop until reports are received
- Support HR Ops Team in GNO invoicing and clearances through the Finance Shared Service Team.
- Bachelor's degree in human resources, business administration, or a related field preferred.
- 4+ years of experience in an administrative support role, preferably in a human resources department.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- Knowledge of HR principles, practices, and procedures.
- Ability to maintain confidentiality and handle sensitive information.
- Ability to work independently and as part of a team.
