ROLE SUMMARY:

The Receptionist will be responsible for effective communication and administrative support to the staff in the office. In addition, s/he will be assigned the responsibility of assisting the senior leadership in the organisation.

S/he will support the administration department in ensuring effective and efficient administrative systems and procedures towards smooth running of the operations, within organisational policies and compliance mechanisms.


DUTIES AND RESPONSIBILITIES:


  • Manage ChildFund India's front desk in professional manner,
  • Ensure telephone calls, mails and other communications are routed to the appropriate divisions/staff. Ensure followup as necessary.
  • Efficient and subtle management of the Country Director's schedules.
  • Manage calendar of the Country Director, including travel schedules, internal/external meetings and appointments.
  • Support in drafting briefings and background notes. Keep records of documents as may be required.
  • Followup and timely coordination of actions to be taken and collection of reports to the Country Director.
  • Collaborate with other departments, such as HR, in maintaining attendance register and absence management, as may be required.
  • Maintains security and telecommunications system.
  • Attend to ChildFund India guests/ visitors and provide a hospitable environment to them.
  • Maintain employees and department directories.
  • Ensure timely logistics for employees/ visitors/ guests as per the travel policy of the organization.
  • Maintain all travel itineraries, tickets and submit the statement of travel accounts to Finance. Ensure sufficient balance is available with the travel agents for all the accounts.
  • Maintain security of office by following procedures, monitoring logbook for vehicles, and issuing visitor badges.
  • Keep a safe and clean front desk area by complying with procedures, rules, and regulations and by supervising support staff.
  • Manage conference hall bookings as per the need of staff.
  • Ensure timely payment of rent, utilities, and services for assigned offices by timely submission of bills, invoices, travel claim forms etc.
  • Support Administration department in procurement of material.
  • Tracking of ARC's and AMCs for renewal process.
  • Keep office inventory updated from time to time, along with other related documents.
  • Coordinate with vendors and service providers to procure goods and services required by the office.
  • Maintain official registers such as inventory, stock, courier, and movements.
  • Any other task as maybe assigned by the supervisor.

QUALIFICATIONS/ EXPERIENCE/ SKILLS/COMPETENCIES:


  • Graduate with minimum 34 years of experience in operation and managing frontdesk
  • Knowledge of handling EPABX and multiple telephone lines.
  • Excellent interpersonal and communication skills.
  • Be an organized, team player, selfstarter and resultsoriented individual.
  • Excellent planning, organizational and problemsolving skills.
  • Strong communication skills (both verbal and written).
  • Ability to prioritize multiple tasks at the same time, work effectively under pressure and meet deadlines.
  • Demonstrated highlevel interpersonal and crosscultural skills including the ability to build collaborative relationships internally and externally with sensitivity to cultural, ethnic, social and political issues.
  • Be gender sensitive with strong conviction and skills for the empowerment of excluded and disadvantaged children.
